This includes 9,700 linear feet of shelved and/or boxed archives, manuscripts, photographs, and memorabilia and an additional 1,300 linear feet of books from the fourth floor and fourth mezzanine of Bartlett Hall North (Building 753N) to areas on the first and second basement levels of Cullum Hall

(Building 605). A limited quantity of sound recording disks, glass photographic materials, and other extraordinarily fragile media are included in this move. A variety of document-filled cabinets must also relocate. These cabinets are listed later in this document, but include (28) map cases, (65) map drawers

(whose contents will be transferred to new cabinets at the destination), (2) microfilm cabinets, (27) four-drawer file cabinets, (1) card catalog and various smaller card, negative and document files. There are also computers and monitors, pieces of specialized equipment, including a large digital camera assembly and peripherals, items of specialized furniture, a number of library carts, wire racks, stairs and stools, as well as pre-packed cartons of supplies, staff papers and office holdings.

The collection materials to be moved require special handling and extreme care. Many items are unique and irreplaceable. The bound volumes to be moved include the Library’s oldest and rarest. Many fragile items are included. The contractor shall have significant well-documented previous experience in moving similar types of special and fragile library materials. The names of institutions previously served and their POCs may be required. It is essential that the internal order of all of the collections be maintained.

Materials re-locating from Bartlett Hall North to Cullum Hall will be removed from the fourth floor and fourth mezzanine using the passenger elevator and transported out the northwest entrance (gun door) to be loaded on trucks for transport to Cullum Hall.

Materials will be tagged using a mover supplied labeling system. It is recommended that adhesive backed labels be supplied in six colors to indicate various moving instructions. Labels should have sufficient space for library staff to indicate a room code and shelf/location/cabinet number. These codes will dictate placement of the materials upon arrival in Cullum Hall. New shelf and cabinet locations at

Cullum Hall will be clearly identified and marked in advance by Library staff members. Contractor will also provide 200 standard record center cartons (30 days prior to move, or as agreed) for library staff to pre-pack.

Contractor shall clean all destination shelves of dust and particulate matter prior to shelving collections.

Materials for Relocation.

5.1. Approximately 3,400 linear feet of manuscripts must be relocated from the north side compact shelving on the fourth floor of Bartlett Hall North (753N) to the designated compact shelving on the second basement level of Cullum Hall (605). All of these materials are extremely important and fragile. The majority of this material is in document boxes that must be transported in an upright position. Turning the boxes over, laying them on their sides, or otherwise shifting the contents is not permitted, as damage can occur to the delicate contents. These boxes shall be moved on contractor supplied book trucks. Boxes with a horizontal configuration may be stacked on the trucks to a maximum height of 9”. Trucks shall be securely wrapped in protective film to ensure that contents are not lost or shifted in transit.

NOTE: Bound volumes, folders, card files, and other materials interspersed among the document boxes must be moved with the boxes and remain in the same orientation from the source shelf to the destination shelf. It is essential to maintain the internal order of the collections.

5.2. Approximately 425 linear feet of oversized manuscripts material similar in composition and requiring the same handling instructions as the materials described in paragraph 5.1 must also relocate from the north side compact shelving on the fourth floor of Bartlett Hall North to designated sections of the compact shelving on the second basement level of Cullum Hall. Items considered oversized and destination locations will be clearly marked on the tags to ensure proper placement.

5.3. Also on the north side compact shelving on the fourth floor of Bartlett Hall North are several discrete collections (775 linear feet) that will move to the cabinet room on the second basement level of Cullum Hall. These require the same general handling instructions as the materials described in paragraph 5.1 and will be tagged in advance by library staff to identify designated cabinet and locations and any additional specific handling requirements.

5.4. A small body of material within these collections requires extra-special handling and will be specially tagged by Library staff. Special handling instructions will apply to approximately 75 linear feet of fragile special media, including phonograph records and glass plate negatives, which must be boxed. Boxes containing glass photo plates will not be stacked in cartons. No more than one linear foot of glass plates will be placed in a carton. Boxes of glass plates will be separated by a triple thickness of corrugated cardboard or a foam insert. Empty spaces in cartons will be packed to avoid the shifting of contents, and boxes will be transported in an upright position. Comparable measures shall be taken to ensure the safety of disk recordings. These materials will relocate to designated locations in the cabinet room on B2.

5.5. Approximately 4,400 linear feet of shelved archival material must be relocated from the south side compact shelving on the fourth floor of Bartlett Hall North to the compact shelving in the first basement of Cullum Hall. These materials consist primarily of bound volumes and boxed documents.

It is essential to maintain the internal order of these materials. Boxed materials must be transported in an upright position. Turning the boxes over, laying them on their sides or otherwise shifting the contents is not permitted, as damage can occur to the delicate contents. These materials shall be moved on contractor supplied book trucks. Boxes with a horizontal configuration may be stacked on the trucks to a maximum height of 9”. Trucks shall be securely wrapped in protective film to ensure that contents are not lost or shifted in transit.

NOTE: Loose materials interspersed among the document boxes must be moved with the boxes. It is essential to maintain the internal order of the collection. Loose materials shall be individually wrapped in protective material (i.e., bubble wrap) and moved on contractor supplied book trucks along with the boxes. Some material within this collection requires extra-special handling and will be specially tagged by Library staff.

5.6. Approximately 90 linear feet of oversized archives material similar in composition and requiring the same handling instructions as the materials described in paragraph 5.5 must also relocate from the south side compact shelving on the fourth floor of Bartlett Hall North to designated sections of the shelving on the first basement level of Cullum Hall. Items considered oversized and destination locations will be clearly marked on the tags to ensure proper placement.

5.7. A small body of material within these collections requires extra-special handling and will be specially tagged by Library staff. Special handling instructions will apply to approximately 100 linear feet of fragile special media, including phonograph records and glass plate negatives, which must be boxed.

5.8. Approximately 610 linear feet of special archives media requiring the same handling instructions as the materials described in paragraph 5.5. must also relocate from the south side compact shelving on the fourth floor of Bartlett Hall North to designated environmental sections of the compact shelving on the second basement level of Cullum Hall.
