About this file
This document is a Request for Quotes (RFQ) CO1626-25 issued by Marion County, Oregon for Microfilm Imaging Services for Permanent and Long-Term Public Records. The procurement seeks a contractor to digitize and manage microfilm records for the Marion County Clerk's Office, with critical timeline dates including May 12, 2025, at 5:00 PM Pacific Time for submitting questions and May 28, 2025, at 2:00 PM Pacific Time for final offer submissions. Vendors must use the Marion County Procurement Collaboration Portal to submit all interactions and proposals, requiring account creation 15-30 minutes before document submission. The procurement process involves logging into the portal, navigating to the specific solicitation, viewing documents, registering as a respondent, and submitting comprehensive response documents.
The RFQ appears to be an open competitive process accessible to qualified vendors, with no explicit set-aside designations or disadvantaged enterprise requirements mentioned. The procurement does not indicate current incumbent vendors or specify precise budget ranges for the microfilm imaging services contract. Potential bidders will need demonstrated expertise in digital imaging, records management, and technical capabilities to convert microfilm documents into digital formats suitable for long-term preservation and access. The digital procurement approach suggests a preference for technologically sophisticated vendors with robust digital document management capabilities. Interested vendors are advised to carefully review all portal documentation and ensure they can meet the technical and procedural requirements before the May 28, 2025 deadline.
