About this file
This document is an Addendum #1 to Invitation for Quotation (IFQ) 9000 JG1039 issued by the City of Austin's Financial Services Department, Central Procurement Office. The IFQ addresses evidence refrigeration equipment for the Austin Forensic Science Department's Evidence Warehouse. The procurement requires three evidence refrigerators, each with fifteen secured non-pass-through lockers, and one evidence freezer with six secured non-pass-through lockers. Refrigerators must maintain temperatures between 38-42°F with digital temperature displays and audible alarms, while freezers must maintain temperatures between 0 to -10°F with equivalent monitoring capabilities. The specified equipment models are the Spacesaver RS24 large Evidence Refrigerator model #ERF82 (82"H × 36"W × 24"D) and the Spacesaver Evidence Freezer model #ERF42 (42"H × 24"W × 24"D), or buyer-approved equivalents. Delivery is required to 4708 East MLK Boulevard, Austin, Texas 78721, within ninety days of order via common carrier (FedEx, UPS, or company delivery). Quotation responses were due July 29, 2026 at 2:00 PM.
The Addendum clarifies two critical submission requirements: bidders should indicate the earliest possible delivery date on the Price Sheet, and any vendor or product alternatives must meet the written specifications and be subject to review and approval by the department and Purchasing before acceptance. All pricing must be submitted on an FOB Destination basis with freight charges included in separate line items for each refrigerator unit, the freezer unit, and shipping/freight costs. The City of Austin is exempt from federal excise and state sales taxes and will not remit payment for taxes. Award will be made to the lowest-priced bidder meeting minimum requirements, with the City reserving the right to award to a single vendor. Contractors must provide proof of non-discrimination certification, wage theft compliance certification, and non-debarment status, and must assume all transportation costs for warranty claims while replacing defective items at no cost to the City.
