About this file

This is Addendum #3 to Invitation for Quotation 9000 JG1039 issued by the City of Austin's Financial Services Department, Central Procurement office, addressing an evidence refrigeration equipment procurement for the Austin Forensic Science Department's Evidence Warehouse. The original solicitation requests quotations for three evidence refrigerators, each equipped with fifteen secured non-pass-through lockers, and one evidence freezer with six secured non-pass-through lockers. The refrigerators must maintain temperatures between 38-42°F with digital temperature displays and audible alarms, while freezers must maintain 0 to -10°F with equivalent monitoring capabilities. The specified equipment models are the Spacesaver RS24 large Evidence Refrigerator (model #ERF82, 82"H × 36"W × 24"D) and the Spacesaver Evidence Freezer (model #ERF42, 42"H × 24"W × 24"D), or buyer-approved equivalents constructed of stainless steel inside and out with stainless steel handles. Delivery is required to 4708 East MLK Boulevard, Austin, Texas 78721 within ninety days of order via common carrier. The quotation deadline was July 29, 2026 at 2:00 PM.

Addendum #3 specifically addresses a substantive change to the equipment specifications by confirming that the Forensic Science Department may consider a twelve-door locker configuration for the refrigerators, deviating from the originally specified fifteen-door configuration. Pricing must be submitted on an FOB Destination basis with all freight charges included, and the City is exempt from federal excise and state sales taxes. Bidders must provide separate unit pricing for each refrigerator, the freezer, and shipping/freight on the provided Price Sheet. Award will be made to the lowest-priced bidder meeting minimum requirements, with the contractor responsible for all transportation costs associated with warranty claims and required to replace defective items at no cost to the City. Contractors must provide proof of non-discrimination certification, wage theft compliance certification, and non-debarment status. Jerome Guerrero (Jerome.Guerrero@austintexas.gov, 512-974-5273) serves as the City's procurement contact.
