About this file

This is a Solicitation Addendum No. 1 issued by the City of Austin Financial Services - Central Procurement on January 27, 2026, for IFB 5000 MAS1001REBID, addressing HD-5 propane supply and delivery services across multiple city departments including Austin Aviation, Austin Convention Center, Austin Energy, Austin Fire, Austin Water, and other municipal facilities. The solicitation requests propane refill and exchange services for 20-pound and 33.5-pound cylinders with estimated annual consumption of 12,500 gallons for contractor-location refills and 4,500 gallons for facility-location refills. Services include cylinder exchanges, tank refills, forklift propane tank fills, tank certifications and replacements, with frequencies ranging from weekly to as-needed across eight identified service locations. A pre-offer meeting was scheduled for January 15, 2026, at 10:00 AM, though no offerors attended. The contract shall remain in effect for an initial term of 12 months from award, with options for up to four additional 12-month renewal periods at the City's sole discretion. The solicitation closing date and offer submission deadline are specified as February 3, 2025, at 2:00 PM CT, with questions due by January 20, 2025.

The addendum clarifies that the contract addresses only 20-pound and 33.5-pound cylinders with no other cylinder sizes involved. Storage cages for 33.5-pound forklift cylinders may be purchased during the contract term and priced under Category 5 as non-specified products. Pricing is structured using an indexed model based on U.S. Energy Information Administration weekly HD-5 propane prices plus a firm contractor differential, with detailed pricing requirements outlined in the Price Sheet accompanying the original solicitation documents. Offerors are required to return one executed copy of the addendum with their response prior to the solicitation closing date, with failure to do so potentially constituting grounds for rejection. All other terms and conditions of the original IFB 5000 MAS1001REBID remain unchanged.
