About this file
This document contains answers to vendor questions regarding a VTC refresh solicitation for multiple facilities. The solicitation involves upgrading audiovisual equipment in several conference rooms across a special operations command facility. Equipment to be provided includes VTC codecs without cameras, replacement cameras, touch panels, control systems, cabling and accessories. Integration is required with existing infrastructure including racks, conduits and networks. Audiovisual scopes of work involve routing signals to displays and replacing outdated speakers and amplifiers. Conference rooms range from small meeting spaces to a large command center and event space. The control room upgrade is intended to enable centralized management of all rooms. Clarification was provided on equipment models, network types, credenza and furniture placements.

VTC Refresh Vendor Questions Amendment 4
General:
-What is the Classification of the rooms?
Answer: The classification depends on the room’s location. If it is inside of a SCIF then the room is classified as Top Secret/SCI. If the room is outside of a SCIF then the room is typically at the Secret level.
-Do all rooms have signal path cable conduit and floor boxes for cable and power access? Are there any restrictions for running cabling in walls or in plenum space in ceiling?
Answer: All rooms have currently existing signal path conduits either within the walls of the room, and/or within the floor. The exception to this is RR 400 Room 1611 which may need new conduit based on the requested layout changes from currently existing hardware locations.
-Room 2503 (Control Room) -What is the PC source in this room? Desktop, laptop? NIPR, SIPR? Where will the PC source(s) be located?
Answer: NIPR, SIPR and Commercial. NIPR and SIPR are both laptops and the commercial is a Desktop.
The devices will be co-located within the control room on the desks.
-What is the purpose of the USB headsets? What piece of equipment are they intended to connect to/communicate through?
Answer: The headsets should be able to listen to the audio from the rooms as well as be able to select the PCs as sources as well in case of Zoom/TEAMS or Jabber is being used.
-What is the model number of the Crestron 8x8 Switcher and what cards does it currently have installed?
Answer: The model is DM-MD8X8. The cards are DMC-STR X2, DMC-4KHD, DMC-4K-C-DSP X2, DMC- 4K-CO-HD, DMC-SO-HD, and a LAN card.
-What equipment’s sound is expected to be heard through the desktop speaker?
Answer: None. Ideally all audio should be through the headphones to mitigate potentially sensitive audio being broadcast to the room.
-What network will the VTC code be using?
Answer: SIPR -Does the VTC codec include the Kit and/or camera bar and microphone?
Answer: CODEC only.
-Will the Blonder Tongue video stream need to be integrated into the AV system in the rack? Will the stream need to interface with any of the other equipment in the rack or just be routed to the displays?
Will this be the case for all rooms?
Answer: The blonder tongue is in a comm closet downstairs. The equipment only needs to be able to route it to the displays and/or the headend. This is the only room that needs that capability as we control the headend system from this location.
-Regarding the touch panel source code, is the code being provided final GFE code or is it to be modified by vendor?
Answer: The original source code can be provided if needed, but the code will need to be completely rewritten or at the least modified to accommodate the upcoming changes.
-Is the control system in the Control Room intended to route audio and video, and/or control all other room’s functions?
Answer: The control room is intended for routing of A/V, though being able to control the other rooms would be a huge boon to our efficiency and would be very welcome, as we currently have to remote into each room from here to control them.
Room 1611
2.2.13 – What is being requested as “Audio Source (DSP)”? A detailed request for audio processing is being made at 2.2.21 Answer: I’m not sure what is being asked here. I need more clarification for a better answer.
-Where is the rack in the room?
Answer: In the right side of the closet in the room -Is this table fixed in place?
Answer: No -Are amp and speakers needed for this room?
Answer: There is currently not a usable AMP in the space so one will be needed. There are currently speakers in the room but will most likely need to be replaced as they are obsolete.
-Is there GFE rack and power in the room?
Answer: There is a currently existing rack with power in the space. However, during the walk through it was addressed that something more modern would be provided if needed.
Room 149 (Heritage Hall) -Where are the table and “bar” located in the room? Please explain what the “bar” is?
Answer: The tables are located through out the room and are movable. The bar is just like it sounds, a place to serve alcohol and drinks to guests and other VIPs. It is centered along the wall closest to the two doors.
-Does this VTC codec include the camera bar? If so, is it to be installed and used?
Answer: The current CODEC is a C-40 and the camera if from the same generation of equipment. The replacement CODEC will be a WEBEX Room Kit Pro, with no camera, so a new camera will be needed for this space.
-Is there a table and credenza in the room?
Answer: There is a credenza in the room. The touch panel will stay on top of the credenza.
-Is the keyboard and mouse switch not needed?
Answer: There are no permanent computers in the space. Users bring an appropriate laptops for use in the space and connect it to the system via HDMI at the credenza.
-What is the intended purpose of the table microphone at the bar? What audio is it meant to pick up?
Answer: The table mic on the bar is the currently existing microphone in the room. It is “meant” to pick up all audio in the room. It will need to be replaced with ceiling mics.
-Is there GFE rack and power in the room?
Answer: The credenza will be the GFE solution to the rack and it has power.
Room 107 -Does this VTC codec include the camera bar? If so, is it to be installed and used?
Answer: No.
-Is there GFE rack and power in the room?
