About this file

This is a Questions and Answers document (No. 3) issued on 14 July 2026 for federal contract FA87126Q0976 regarding audio-visual equipment procurement for AFRL/RF in Rome, NY.

The document addresses five questions from prospective offerors concerning project specifications and delivery terms. Questions 1 through 4 seek clarification on whether three new 11k lumens projectors will replace or supplement existing Barco projectors, projector-to-screen throw distances and screen specifications, native resolution requirements for system compatibility, and confirmation that three two-piece U-brackets are new ceiling-mounting hardware with associated mounting heights and ceiling types. The government's responses to all four questions consistently direct offerors to Attachment No. 1 (List of Materials dated 30 June 2026), which specifies that existing Barco projectors are to be reused, without providing the additional technical specifications requested. Question 5 addresses delivery timeline and facility access procedures for the Rome, NY installation location. In response, the government clarified that the 60 Days After Receipt of Order (ARO) estimate in the solicitation is preliminary and that offerors should propose their own delivery terms for completing all items listed in Attachment No. 1. The government further stated that final delivery terms and dates would be negotiated in any resultant contract award.

FA87126Q0976 – Questions & Answers No. 3

14 JULY 2026

Question 1: Appendix A specifies 3 new “11k Lumens Projectors.” Attachment No.

1 (List of Materials – Existing Equipment) separately lists the existing Barco G62W11 (Booth, noted as primary projector) and two Barco 662 units (Outside of Booth, used on an as-needed basis) as “Reuse.” Please clarify whether the 3 new projectors are intended to replace these existing Barco units, to supplement them in additional locations, or to serve some other purpose within the system.

Answer 1: Refer to Attachment No. 1, List of Materials (LOM) dated 30Jun26, existing Barco projectors are to be reused.

Question 2: For each of the 3 projector locations, please provide the approximate projector-to-screen throw distance and the screen size (diagonal measurement and aspect ratio) currently installed or planned. Projectors in this brightness class are sold without a lens included; lens selection is throw-distance-dependent and cannot be determined without this information.

Answer 2: Refer to Attachment No. 1, List of Materials (LOM) dated 30Jun26, existing Barco projectors are to be reused.

Question 3: Please confirm the required native resolution for the new projectors (e.g., WUXGA or 4K) to ensure compatibility with the HDMI/HDBaseT wall-plate transmitter and matrix switcher signal chain specified elsewhere in Appendix A.

Answer 3: Refer to Attachment No. 1, List of Materials (LOM) dated 30Jun26, existing Barco projectors are to be reused.

Question 4: Appendix A separately lists “Two-piece U-bracket” (Qty 3) alongside the projector line item. Please confirm these brackets are new ceiling/mounting hardware intended for the 3 new projectors (as opposed to hardware associated with the existing reused units), and if possible, confirm mounting height and ceiling type at each location.

FA87126Q0976 – Questions & Answers No. 3

14 JULY 2026

Answer 4: Refer to Attachment No. 1, List of Materials (LOM) dated 30Jun26, existing Barco projectors are to be reused.

Question 5: The solicitation states an anticipated delivery date of 60 Days After Receipt of Order (ARO), and separately describes a formal installation access process for AFRL/RF, Rome, NY (written request on company letterhead, Contracting Officer endorsement, then routing to the base pass and registration office for installer credentials). Can you advise how far in advance of the anticipated award/start date this access request should be submitted, and whether the typical processing time for installer badging/access is expected to run concurrently with, or in addition to, the 60-day ARO delivery/installation window.

Answer 5: The anticipated delivery date in the solicitation is only an estimate. Offeror should propose their delivery terms in which all items listed within Attachment No. 1, List of Materials (LOM) dated 30Jun26 would be completed. Delivery terms and dates would be finalized in any resultant award.
