About this file
This document is a Vendor Questions and Answers file for a conference to be held at the Wyndham Lake Buena Vista Resort from October 28-31, 2025, focusing on audiovisual (A/V) requirements. The event, part of an annual series with previous contract numbers FA805223P0003, FA805224P0001, and FA805225P0003, requires specific A/V equipment including two large screens (9' x 16') and two medium screens (8' x 8'), all to be set up in freestanding fast-fold style with front projection and matte white surfaces in 16:9 widescreen format.
Key technical requirements include a confidence monitor in the Horizons Ballroom, black pipe and drape with uplighting, podium and wireless microphones, and a dedicated Wi-Fi network for the Solar Office. Setup is restricted to October 28, 2025, from 5:00 PM to 7:30 AM on October 29, with technical checks permitted before the first general session. Presenters will provide their own laptops, and the contractor must supply HDMI cables and adapters. No recording, virtual presenters, live demonstrations, or additional power requirements are needed. A government-designated AV lead will be onsite, and the contractor must provide a lead technician to coordinate with this point of contact.
