About this file

This document is a Contractor Questions and Government Responses file for solicitation FA480326Q0016, titled "Airshow Hotel Rooms." The government requires 70 total hotel rooms to support an airshow event, with 20 rooms specifically needed in Sumter City and the remaining 50 rooms within a 45-50 minute drive to Shaw AFB. Hotels with both exterior and interior room entrances are acceptable, and rooms do not need to be in a single property. The preferred room configuration is 50 king beds and 20 double beds; however, the government stated that an increased number of double beds would be accepted as an alternative. Each guest requires one parking spot, and individually locked rooms with a 24-hour desk are preferred. Breakfast is preferred but not mandatory.

Cancellation terms require 24 hours notice, and the government will not pay taxes, so taxes must be excluded from all quotes. Double occupancy is not required, and no ADA-accessible rooms, shuttle service, or security presence beyond locking doors are mandated. Stays are expected to be tax-exempt with no taxes included in pricing. The government referenced a Salient Characteristics excel sheet for detailed submission requirements, which serves as the attachment containing specification details for contractor proposals.

Contractor Questions and Government Responses

Title: Airshow Hotel Rooms

1. If the hotel does not have enough double rooms for single occupancy, you can put 2 people per room and you would just need 10 double (2 beds) occupancy rooms then?

Government Response: We would prefer not to, but we might be able to put 2 people in the same room as long as gender and rank were taken into consideration. All the rooms do not have to be in the same hotel.

2. Would you please provide the attachment so we can ensure our submission meets the requirement?

Government Response: Salient Characteristics excel sheet attached

3. Do you require that the hotel selected be located within a specific mileage distance of a certain address or location?

Government Response: 45-50 minutes from Shaw AFB.

4. How many rooms are requested?

Government Response: 70 Rooms

5. Is there a mileage or distance requirement from the base?

Government Response: See question 3

6. Will hotels with exterior room entrances be considered or are only properties with interior hallways acceptable.

Government Response: Yes

7. Distance from Base?

15. Must rooms be in one property?

Government Answer: No

16. Is there a hard cutoff (miles or drive time), or is closer just preferred. See question 3. Sumter area is preferred.

Government Answer: 20 rooms need to be in Sumter City, the other rooms can be within a 45-50 min drive to Shaw AFB

17. Any included breakfast needed?

Government Answer: See Question 9

Government Answer: Individually locked rooms, 24 hour desk preferred.

Government Answer: See question 11.

20. Any shuttle service needed? If yes, required hours, frequency, capacity

Government Answer: No

21. Are stays expected to be tax-exempt and what documentation will be provided?

Government Answer: The Government does not pay taxes. Taxes shall not be included in the quote.

22. What are the agency’s required cancellation/attrition/no-show terms? Guaranteed block or as-used?

Government Answer: See question 10

23. The salient characteristics then are just the type of rooms and amounts you need? In this case, if I was able to provide enough rooms to accommodate your needs, but say a majority of them were actually double rooms we could place one person in, would that suffice? Or do you strictly need 50 king beds and 20 double beds?

Government Answer: An increased number of double beds would be accepted.
