SUMMARY OF CHANGES
The purpose of this Amendment is to:
1. Answer questions posed by interested vendors
2. Add Attach. 2 – WD 15-5537 (Rev 24) as an attachment to the solicitation as it was mistakenly left off the original posting.
3. Attached a revised version of the SOW based on answers to the questions.
Q1: Can the venue be outside Washington state? Still within the 180 mile radius?
A1: The government is willing to go outside state borders for this requirement as long as the 180 mile radius listed in the Statement of Work (SOW) is met. Attach. 1 – Statement of Work (Amend 01) has been updated to reflect this requirement.
Q2: Is any AV needed in the meeting space? Or is the group bringing their own? Some venues allow outside AV- just need to confirm.
A2: Yes, an AV such as projector, speakers, and microphone are needed and shall be provided by the offeror/venue. Attach. 1 – Statement of Work (Amend 01) has been updated to reflect this requirement.
Q3: Total attendees in the SOW is 22- does that include staff? With 12 lodging rooms is it 10 couples & 2 staff? Just want to provide the correct number of meals.
A3: The government confirms the total number is 22 individuals. 20 participants and 2 instructors. 10 rooms are for the 10 couples at double occupancy. The two additional rooms are for the two instructors at single occupancy.
Q4: Do both retreats need to be held at the same location?
A4: The government does not require both retreats be held at the same location.
Q5: I am looking into the lodging for the marriage retreat and I see two dates for the retreats. Are these two separate retreats or one with two potential dates.
A5: This solicitation is for two separate retreats on two separate sets of days. Offerors shall price each retreat separately in the CLIN structure listed on 25QA931 COMBO.
Q6: What time would the Meeting space be needed and day?
A6: Preferably it would be available for the entirety of the trip, but the minimum requirement would be:
- Friday at 5:00 PM PT until 9:00 PM PT
- Saturday morning at 8:00 AM PT until 2:00 PM PT
- Sunday morning at 8:00 AM PT until 11:00 AM PT
Q7: Is there any food allergies or food preference for the meals?
A7: The government requests a protein and a vegetarian option w greens/ vegetables/ starches/ dairy/ grains/ and deserts. The list of attendees has not yet been finalized, but vegan and gluten free options shall be made available if attendees have said dietary restrictions.

Q8: What time would guest arrive?
A8: Guests will arrive approximately at 4:00 PM PT on 27 June and 18 July.
Q9: Will you please clarify the number of individuals participating? The request is for 12 rooms with double occupancy, but the meeting room is for 22 individuals.
A9: Please refer to answer 3 (A3).
Q10: What day, time, and for how long will you need to use the meeting room?
A10: Please refer to answer 6 (A6).
Q11: Are you comfortable at a family-friendly facility with children, or would you prefer adults only?
A11: The government is open to adults-only or family friendly locations.
Q12: Are you willing to drive to activities if you are at a serene/tranquil facility?
A12: The government would prefer activities that are within walking distance but would accept activities to be within a short (approximately 5 miles) driving distance from the hotel. Attach. 1 – Statement of Work (Amend
01) has been updated to reflect this distance requirement.
Q13: Will you need AV equipment?
A13: Please refer to answer 2 (A2).
Q14: Will meals be served in the meeting room?
A14: Yes, meals are planned to be served in the meeting room.
Q15: You requested two (2) dinners, two (2) breakfasts, and one (1) lunch. Is the following schedule correct?
A15: The government is requesting 2 dinners, 2 breakfasts, and 1 lunch for each retreat.
Q16: Will you consider a resort in Canada?
A16: The government is willingly to consider an offer in Canada so long as it’s within 180 miles of Spokane, WA per the SOW.
Q17: Could you please clarify the expected number of participants? The room request suggests 12 rooms with double occupancy, while the meeting room capacity request states 22 individuals.

Q18: What day, time, and duration will you need the meeting room?
A18: Please refer to answer 6 (A6).
Q19: Would you prefer a family-friendly facility or an adults-only environment?

Q22: You requested two dinners, two breakfasts, and one lunch. Please confirm if the following schedule is accurate:
* Friday: Dinner
* Saturday: Breakfast, Lunch, Dinner
* Sunday: Breakfast
A22: The government conforms the following schedule. Please see answer 15 (A15) above as well.
Q23: Would you be comfortable with only one restaurant on-site?
A23: The government is comfortable with just one on-site restaurant. Attach. 1 – Statement of Work (Amend
01) has been revised to reflect this update.
Q24: Given hotel cancellation policies, how much notice can the federal government provide the winning contractor for cancellations?
A24: The contract resulting from this solicitation will be firm-fixed price. The total price in the contract will be the amount paid to the offeror, unless there is a contract modification to descope the contract in the case of changes.
It is the responsibility of the government to fill the rooms agreed upon in the resulting contract. The government will develop a stand-by list as well in case of any last-minute cancelations.
Q25: Could you please provide the dollar amount, solicitation number, number of nights, meals, and participants from the previous "Strong Bond" Marriage Re-treat?
A25: The previous contract number is FA462024P0059. It was for 2 nights and 5 meals with 13 rooms and 26 personnel for $10,500.00.
Q26: Please specify the days you will be needing the meeting room.
A26: A18: Please refer to answer 6 (A6).
Q27: Will you need the meeting room for an entire day or half a day?
A27: A18: Please refer to answer 6 (A6).
Q28: Should the cost of meals, beverages, AND gratuity be included in the quote?
A28: Offerors shall include all costs in their quote.

Q29: How certain are you of the number of rooms needed?
A29: The government is set on only needing 12 rooms for each retreat.
Q30: Is there a possibility you may need fewer than 12 rooms? If so, when will the winning contractor be informed?
A30: Please refer to answer 29 (A29).
Q31: Can an excursion be included in the weekend activities?
A31: The government is comfortable with an excursion being included on Saturday afternoon.
Q32: Will you need a registration table for Friday at check-in?
A32: The government would prefer a registration table at check-in.
Q33: Will you need break-out rooms? If so, how many and when?
A33: The government only requires one meeting room to accommodate 22 personnel on each retreat.
Q34: Has funding been approved for this event?
A34: Funding has been certified for this requirement.
Q35: If possible, can you state where the last retreat took place and whether you would like to re-turn? Why and why not?
A35: The last retreat took place at Silver Mountain Resort. We are open to going back due to the overall experience of everyone who went and its distance from the base. They provided everything needed and had excellent customer service.
Q36: Can we submit multiple quotes/proposals?
A36: Multiple quotes are allowed for this solicitation.
Fill out blocks 15a, 15b, and 15c and provide a copy with your proposal.
