Solicitation FA4484-24-Q0021 Questions

1) We didn’t see any requirements throughout the solicitation / RFP that addressed the need for Food & Beverage (F&B), yet there is a requirement for the venue to provide a banquet hall as referenced below. How does the government intend on proving F&B for the Tri-Squadron Annual Awards Banquet on Wednesday, 13 Nov? Will the contractor be responsible for F&B coordination and payment, or will the government be paying for F&B outside of this contract award?

REFERENCE: Banquet/Picture.

The Venue shall prepare a banquet hall that can seat/support approximately 320 members for the Tri-Squadron Annual Awards Banquet on Wednesday, 13 Nov.

a) The Venue shall be provided no less than 3.5 hours to prepare for a 1730 cocktail hour, the 3-squadron’s group picture, and the overall banquet, which will end at 2200.

b) The Venue shall ensure that space is made available by 1445 for a 3 squadron group picture.

The contracted venue shall make available food and beverage for the annual awards banquet. However, payment for food and beverage will be handled through individual government travel cards.

2) Does the government intend on providing any am / pm refreshments or coffee service for their guests?

Yes – will be handled with the venue outside of the contract.

3) The solicitation outlines the need for meeting, banquet, and work space, along with sleeping rooms. It does not list any requirements for food, refreshments, coffee breaks, or any other meals - including for the awards banquet. Will these be provided via separate contract or should they be included in offers?

4) We would like to know if this is a brand new contract OR if there is (was) an incumbent performing these services. If not brand new, could you please provide the current / previous contract number?

This is a brand-new contract, there is not an incumbent.

5) Pricing - the total price to "include all personnel, supplies, services, management, overhead, other directs costs, G&A, and profit to fulfill the contractual requirements of the Statement of Work and any Technical Exhibits/Attachments". Please confirm that the solicitation DOES NOT include a Food and Beverage requirement.

6) Will the government accept a location within 3-5 miles of Sandusky, OH?

7) Is there an incumbent to this solicitation? Or is this a new requirement?

8) Will the government please clarify if there is an incumbent providing service on this contract or is this level of effort a new need? If there is an incumbent, can the government please provide the most recent contract award number & contract value?

9) Will the USAF accept a location that is more than 50 miles away from Sandusky, OH? (Cleveland, OH)

No. Venue needs to be within 10 miles of Sandusky, OH.
