About this file
This document outlines hotel accommodation and service requirements for the USTRANSCOM International Logistics Symposium (UILS) scheduled for June 21-26, 2026, with main symposium activities occurring June 23-25. The hotel must provide an initial block of 40 single-occupancy rooms with the option to add up to 25 additional rooms, with final room count confirmed by June 5, 2026. All rooms require complimentary Wi-Fi access, and daily breakfast must be included in the contracted room rate. Additional required amenities include business center access with computer and printer facilities and a networking lounge area.
The hotel must be located within 15 minutes' driving distance of the Duane Cassidy Conference Center at Scott Air Force Base, Illinois, and accommodate a 44-passenger bus for daily pickups and drop-offs. Hotels within a quarter-mile walking distance of food and shopping venues are preferred; otherwise, complimentary shuttle service is required. A private meeting space accommodating 75 attendees is required on June 22, 2026, from approximately 0900 to 1000, with chairs-only setup. Payment will be made via a single government contract covering nightly room rates, applicable taxes, and authorized miscellaneous fees such as late check-outs. The hotel must waive personal credit card requirements for check-in due to international guests' potential lack of access to major credit cards. Guests are responsible for incidentals (room service, in-room purchases) and damages, with the hotel required to provide itemized damage reports submitted to respective country embassies for financial resolution.

USTRANSCOM International Logistics Symposium (UILS) 2026: Hotel Accommodation Requirements
1. Overview This document outlines the hotel accommodation and service requirements for the United States Transportation Command (USTRANSCOM) International Logistics Symposium (UILS), scheduled to take place from 21-26 June 2026. These requirements are established to ensure the comfort, convenience, and safety of our international participants.
2. Event & Lodging Dates
• Symposium Dates: The main activities for the UILS will be from 23-25 June 2026.
• Check-in Date: Sunday, 21 June 2026
• Check-out Date: Friday, 26 June 2026
3. Room Requirements
• Initial Booking: A block of 40 single-occupancy rooms is required.
• Additional Rooms: The hotel must provide the option to add up to 25 additional rooms. The final room count will be confirmed by Friday, 5 June 2026.
• In-Room Amenities: All rooms must be equipped with complimentary Wi-Fi access.
4. Hotel Amenities & Services
• Breakfast: A daily breakfast for all guests must be included in the contracted room rate.
• Business Center: Guests must have access to a business center with computer and printer facilities.
• Networking Space: A lounge area or similar common space is required for guests to network.
5. Location & Accessibility
• Proximity to Venue: The hotel must be located within a 15-minute driving distance of the Duane Cassidy Conference Center at Scott Air Force Base, Illinois.
• Transportation: The hotel must be able to accommodate a 44-passenger bus for daily pickups and drop-offs.
• Local Amenities: The hotel should be within a quarter-mile (1/4 mile) walking distance of food and shopping venues. If this is not possible, a complimentary shuttle service for all guests must be provided.
6. Meeting Space Requirements
• Date and Time: A private meeting space is required on Monday, 22 June 2026, from approximately 0900 to 1000.
• Capacity: The room must accommodate 75 attendees.
• Setup: The room should be set up with chairs only (no tables, tablecloths, audio-visual equipment, or refreshments are necessary).
7. Billing and Payment
• Payment Method & Allowable Charges: All room charges will be settled via a single government contract. The contract will cover the nightly room rate, applicable taxes, and authorized miscellaneous fees, such as late check-outs due to delayed or rescheduled flights (e.g., inclement weather). Because some international guests may not have access to or be issued major credit cards, the hotel shall grant a special waiver removing the requirement for guests to present a personal credit card upon check-in.
• Incidentals: Incidentals are defined as personal charges incurred by the guest that are not included in the contracted room rate (e.g., room service, in-room purchases, snacks, or other optional amenities). The USTRANSCOM UILS contract will not cover these charges. Guests are strictly responsible for their own incidentals and will have cash available to cover these charges directly with the hotel. UILS Points of Contact (POCs) will convey this policy to all UILS guests during the check-in process.
• Damages: Damages refer to any physical damage to the hotel room or property caused by the guest.
Should damages occur, the guest is responsible for covering the cost. The hotel is required to provide a detailed, itemized report describing the damage, how and why it occurred, and the associated costs.
This report will be submitted to the guest’s respective country embassy for their records and final financial resolution.
