About this file
This document is a Questions and Answers (Q&A) response for the 2025 JBA Air Show Distinguished Visitor's Tent, dated 8 August 2025. The document provides detailed clarifications about tent specifications, layout, and setup requirements for a large event. Key details include the configuration of seven 50' x 50' tents with specific sidewall and curtain requirements, a 30' x 30' tent with sidewalls, and six 20' sliding wall entry points. The tents will be arranged to provide an open view of the flightline, with closed sidewalls on three sides and standard cloth linens. Setup is scheduled for September 10-11, with a site walkthrough on September 10th, and vendors are responsible for their own equipment loading and securing. The government emphasizes referring to updated layouts in Attachments 2 and 4 for precise tent placement and configuration details.

2025 JBA Air Show Distinguished Visitor’s Tent Q & A Responses 8Aug 2025
1) We need a 10' minimum between each individual tent and there is a discrepancy on the 10x20 tent from the diagram vs the 10x16 tent listed on the line item in the PWS. We are unable to provide more room between tents but can accommodate one large tent instead and we will use barriers inside to separate sections. There is also a misprint on the diagram, 10x16 tent will work on diagram
2) What time can the equipment begin to be set up on September 11th? A site walkthrough can be accommodated for 10 September. Please coordinate with the Project Manager. (Project Manager contact information can be found in the PWS). Set-up start time for 11 September will be discussed during the walkthrough, a start-time earlier than 12:00PM can be accommodated.
3) Does each 50' x 50' tent only have one sliding curtain on the back side with the front being completely open without walls/ curtains or does each 50' x 50' tent need to have sliding wall/ curtains on all 4 sides? To ensure the best possible view of the air show, a single sliding curtain on the back side for entrance, with the front remaining completely open.
4) Will sidewall/ curtains be required on all 4 sides of each tent? To ensure the best possible view of the air show, a single sliding curtain on the back side for entrance, with the front remaining completely open.
5) Will there be a forklift onsite for use by vendor? The government will not provide a forklift. Vendors are responsible for all loading and unloading of their equipment.
6) Under 1.1.3. Equipment Requirement. Quantity Description the 5 - 50' W x 50' D frame tents, there appears to be a discrepancy as it states that the total span is 200'W x 50'D.
Should this be 250W x 50'D or should the quantity be changed to 4? The required span for the frame tent has been revised to 250 feet wide by 50 feet deep (250'W x 50'D).
7) Can openings for the wall/ curtains be 16' wide or do they have to be 20' wide? Yes, 16 feet is acceptable for the opening width.
8) Can the walls/ curtains open in the middle and be pulled open & closed in both directions? Yes, the walls/curtains can open in the middle and be pulled open and closed in both directions, provided they can be securely fastened.
9) The layout shows 5 - 60' wide sections and 1-120' wide section. Are we to assume that the 5- 50 x 50's will go into the 5 - 60' sections and the 2 - 50 x 50's will go into the 1 -120' section? Please refer to the updated layout in Attachment 2 and additional layout in Attachment 4 for the correct configuration.
10) Is there a more accurate layout for the tents? Please refer to the updated layout in Attachment 2 and additional layout in Attachment 4 for the correct configuration.
11) Can the equipment start to be set up on September 10th to be finished on September 11th or does it have to all be set on September 11th? An update to the start time has been made to the requirement.

11) Will there be closed sidewalls in between on the right and left side of each of 7 - 50 x 50 tents or will it be open? Closed sidewalls will be installed on the right and left sides of all seven 50' x 50' tents, with the exception of the JBA Tent. Please refer to the updated layout in Attachment 2 and additional layout in Attachment 4 for the correct configuration.
12) Will there only be 6 - 20' Sliding walls? Yes, that is correct. There will be a total of six 20' sliding wall entry points, providing one access point for each of the tents.
13) Does the 30' x 30' tent have sidewalls? Yes, the 30' x 30' tent does have sidewalls.
14) Will the linens be standard linens, spandex linens, or floor length? Standard cloth linens are required
15) Are curtain walls the same as sidewalls? No, the curtain walls and sidewalls are distinct elements. The sliding curtains are designated as entry points, whereas the sidewalls are fixed in place.
16) Do the 20' sliding curtain need to be in the center of the back of each 50' tent? The 20' sliding curtain is not required to be centered on the back of each 50' tent. It may be located at any point along the back wall to facilitate entry.
17) Will the 50' x 50' tents in the 120' space on the layout be used as one tent? Yes, the 50' x 50' tents within the 120' space will be configured as a single tent.
18) Can the entire 50 x 350' area be one tent with gable dividers every 50'? No, the 50' x 350' area cannot be configured as a single tent with gable dividers every 50'. The area must be divided into separate tents.
19) Will sidewall/ curtains be required on all 4 sides of each tent? No, sidewalls/curtains will not be required on all four sides of each tent. They will be placed on three sides, with one side remaining open towards the chairs/flightline.
20) Will the 30 x 30 be placed in the 40' space on the right side of the layout? Please disregard the previous layout. The 30' x 30' tent placement has been revised. Please refer to the updated layout in Attachment 2 and additional layout in Attachment 4 for the correct configuration.
21) Will the 30 x 30 also be secured with concrete or water barrels? The onus of securing the tent properly is on the contractor.
22) Will the front of the 50 x 50 be opened and closed every day or will it remain open throughout the event? The front of the 50' x 50' tent will remain open throughout the event, facing the flightline.
23) As for the 50’ wide tents, Items 1 and 2, am I correct that you need two tents, one 50x200 and one 50x100, as the total complete sizes? (One line asked for five that are
50X50, which would total 50x 250). The required span for the frame tent has been revised to 250 feet wide by 50 feet deep (250'W x 50'D).
24) Could you clarify the 6’x20’ curtains that are requested? If this refers to retractable sidewall to enclose the tent, the standard height starts at 8’. Or are these certain areas that need a specific, retractable curtain? Please refer to the updated layout in Attachment 2 and additional layout in Attachment 4 for the correct configuration. If the standard height starts at 8’, that will be the required sidewall height.
25) Do you have a diagram of the tenting along with the furniture? I am not sure I can make that out, and it would be helpful to get a full sense of the placement. Please refer to the updated layout in Attachment 2 and additional layout in Attachment 4 for the correct configuration.
26) If you put 5-50'x50' tents together, you would get a 50'x250', not a 50'x200' as stated in the description. The required span for the frame tent has been revised to 250 feet wide by 50 feet deep (250'W x 50'D).
27) The diagram shows 60' sections for the layout and the request is for 50', and the diagram shows a total length of 420', not 350'. Please refer to the updated layout in Attachment 2 and additional layout in Attachment 4 for the correct configuration.
