About this file
This document is an exhibit to the Janitorial Scope of Work for the Arizona Department of Community Services (AZDCS) Office of Real Estate, specifically serving as a Contracted Vendor Pandemic Planning Checklist for janitorial services procurement CHA335. The exhibit outlines required pandemic preparedness components that contracted vendors must address as part of their service delivery capabilities. The checklist requires vendors to develop key succession and performance planning strategies in the event of significant workforce reduction, including identification of a pandemic lead, development of continuity of operations plans for critical services, cross-training of employees, and establishment of flexible worksite and work hour policies. Additionally, vendors must identify alternative methods to ensure service continuity through supply chain management, determine potential impacts on service delivery, establish stockpiling requirements for materials and supplies to sustain operations for 8-10 days, and identify contingency procedures for accepting and delivering services if normal processes are interrupted.
The vendor must also maintain current organizational documentation including company contacts, organizational charts, and emergency notification procedures with defined call trees and key contact information. The pandemic planning checklist references best practices from federal health agencies, with resources available through the Centers for Disease Control and Prevention (CDC), Department of Health and Human Services (HHS), and the Arizona Department of Health Services (AZDHS). This exhibit represents a proactive risk mitigation requirement integrated into the janitorial services contract structure, ensuring that vendors demonstrate operational resilience and business continuity planning capabilities as conditions of contract performance for state facilities in Arizona.
