About this file

This document is a Preventive Maintenance Checklist for an Uninterruptible Power System (UPS) with the asset code UP01AN, designed for annual maintenance of a building's UPS. The comprehensive checklist details extensive safety guidelines and maintenance procedures, requiring a certified UPS technician to perform a meticulous inspection and testing process that includes verifying electrical systems, checking battery conditions, and ensuring proper operational parameters.

Key maintenance requirements include coordinating service dates with the embassy's Contracting Officer's Representative (COR) and Facility Manager, performing lock-out/tag-out procedures, conducting detailed battery and electrical system inspections, testing all alarms and components, and providing a narrative summary of findings. Critical safety precautions are emphasized, including using appropriate personal protective equipment, maintaining specific temperature ranges for battery systems, and checking for potential hazards like overheating, corrosion, or component damage. The maintenance process involves multiple stages of inspection, including general, semi-annual, and annual checks, with a focus on ensuring the UPS can reliably support critical loads.

Safety Guidelines

A certified UPS technician should perform UPS maintenance.1

Schedule equipment downtime with effected personnel.2

Insure that approved type fire extinguishers are readily available for use in case of emergency.3

Allow no open flames or smoking in the area.4

Review manufacturer's recommended maintenance procedures.5

Follow site safety procedures and your supervisor's instructions.6

Record and report to your supervisor any equipment damage or deficiencies found while performing this task.

De-energize, lockout, and tag circuit. CAUTION - Check that circuits are dead before proceeding with any work.

Record all test results and findings in component maintenance log.9

All tests shall conform to the manufacturer's test procedures and standard values.10

SAFETY NOTE: Lethal voltage is present from several sources to and in the UPS unit. There are risks of electrical shock, electrical arcing, and electrical and chemical burns. Electrical energy is stored in the UPS batteries and in the capacitors. The batteries contain corrosive chemicals and a potentially explosive mixture of hydrogen and oxygen gases. Use extreme caution and follow all manufacturer's recommended safety procedures.

Maintenance Procedures

***GENERAL INSPECTION

Cleaning filters, replace if necessary

Inspect surrounding area. Insure there is no flammable or hazardous material on or near the UPS equipment.

Ensure that the UPS equipment is ventilated , and/or cooled.

Observe unit operation for excessive noise or vibration. Insure internal exhaust fans are operational.

Monitor alarm status. Record and investigate any alarms.

Monitor and record in log book input/output voltage and current.

Perform visual inspection of batteries, terminals and connections. Record battery (cell) voltage readings in equipment log book.

*** GENERAL INSPECTION (SEMI-ANNUAL)

Description: UNINTERRUPTIBLE POWER SYSTEM

Frequency: Annual 1Estimated Time (hours):UP01ANCode:

Coordinate site visit service dates with the embassy COR and Facility Manager. Pre-arrange a switch over to maintenance bypass, or static bypass.

Check with operating or area personnel for any obvious deficiencies.

Inspect surrounding area. Ensure there is no flammable or hazardous material on or near the UPS equipment.

Perform Lock-out/Tag-out the UPS input power and verify a de-energized and safe working condition prior to accessing internal UPS components.

Ensure that the UPS equipment is ventilated, and/or cooled. Ensure the air intakes are not blocked.

Maintain the unit is free from dust and any moisture.

Observe unit operation for excessive noise or vibration. Ensure internal exhaust fans are operational.

Verify all cooling fans spin freely.

Perform battery maintenance. This shall include cell voltage readings and an overview inspection of the battery strings condition. Check all battery connections for the proper torque and ensure they are free of corrosion. Check batteries for cracks or leaks. Correct any noticeable discrepancy if found, such as a corroded connection or a loose wire. Any major discrepancy noted shall be brought to the immediate attention of the COR and the Facility Manager.

Ensure battery systems are maintained at 72°-77°F to meet design specifications.

Clean or replace air filters

Check if components, wiring and connections exhibit evidence of overheating. Particular attention should be given to bolted connections.

Torque connections to manufacturer’s specifications.

Perform online checks while the load remains on maintenance bypass.

Perform all function tests and calibrate unit.

Check all meter parameters, settings, and logic.

Check the settings of the electronic regulation, the control and the alarm circuits of the Rectifier(s) and Inverter(s).

Check the Thyristors, Diodes, Transformers, e.g. to ensure that they are operating within the specified design parameters.

Test all UPS alarms and remote alarm panels.

Check the calibration of DC voltage and Inverter Output Voltage and Frequency.

Review and perform any manufacture specific Operations and Maintenance requirements for this model and brand UPS.

Restore the UPS to its online condition with output breaker closed and supporting the critical load.

Check and verify system output voltage adjustments.

If any discrepancies remain, which prohibit the unit from supporting the load, notify the COR and the post Facility Manager of these discrepancies and the unit’s bypass condition immediately

Provide a list of equipment, BOM, and repair price quote to be handled under a separate procurement action.

Provide a narrative summary of all findings, and conditions. Include all input and output voltage, amperage, and frequency readings. Provide individual battery voltage. readings.

*** GENERAL INSPECTION (ANNUAL)

Description: UNINTERRUPTIBLE POWER SYSTEM

Frequency: Annual 1Estimated Time (hours):UP01ANCode:

Perform monthly and semi-annual maintenance.

Perform Lock-out/Tag-out the UPS input power and verify a de-energized and safe working condition prior to accessing internal UPS components.

Perform interior and exterior cleaning of the UPS unit.

Inspect all connections, components, and internal wiring for signs of overheating or damage.

Spot-check all power connections for proper torque.

Replace any faulty, damaged, discolored, or worn components found using onsite government spares.

Check and replace extended battery modules as necessary.

Restore unit power and perform online checks while the load remains on bypass. Check and verify system output voltage adjustments. Check all meter parameters, settings, and logic.

Conduct complete operational test on uninterruptible power system, allowing the system to transfer the critical load to battery, and on to generator power, and then returning to normal commercial power. Strictly follow manufacturer's test procedures for this test.

Restore the UPS to its online condition with output breaker closed and supporting the critical load. If any discrepancies remain, which prohibit the unit from supporting the load, notify the COR and the post Facility Manager of these discrepancies and the unit’s bypass condition immediately.
