About this file

The document is a Supplier Disposition Request (SDR) form used by Argonne National Laboratory for managing nonconforming materials or services within their procurement process. The form provides a structured method for suppliers to report issues with products, request dispositions (such as repair or use-as-is), and seek approval from Argonne for deviations from technical requirements.

The form is associated with a specific federal contract opportunity (Solicitation Number 6-S176-Q-00043-00) for a Vacuum Chamber System for BioNanoProbe-II (BNP-II) at the Advanced Photon Source. The solicitation, issued by the Department of Energy Office of Science, seeks a contractor to design, manufacture, test, and deliver a complex vacuum chamber system housing x-ray optics, motion stages, and related equipment. Key submission dates include a November 4, 2025 deadline for questions (to mollyhunter@anl.gov) and a November 10, 2025 offer submission deadline, with evaluation based on a Best Value Procurement Strategy.

Instructions for Use of the Argonne National Laboratory Supplier Disposition Request Process Explanation The Supplier Disposition Request (SDR) is submitted to supplierdispositions@anl.gov by a supplier, who during the course of an Argonne National Laboratory (Argonne) contract requests deviation from the technical requirements of the contract or detects nonconformance-requiring action (disposition) by Argonne. The SDR is reviewed by Argonne, and disposition is prescribed by Argonne. The SDR is returned to the supplier by an Argonne Representative. The completed SDR form is a quality record. The SDR may be used by the supplier to report on services as well as material items to be offered for use by Argonne. The processing of an SDR is not to limit or affect the warranty provisions of an order. Argonne approval of an SDR does not establish a precedent or obligation to accept a future SDR.

Upon recording a condition requiring Argonne approval, segregate and identify affected material and report the condition to Argonne using the SDR form. CONTINUED PROCESSING OF AFFECTED MATERIAL IS AT THE SUPPLIER'S RISK. Do not ship an item that is the subject of an SDR until the approved SDR is received from Argonne. Related correspondence and/or inquiries should reference the SDR Number assigned by Argonne. Nonconforming material that is approved by Argonne to be offered for acceptance by Argonne is verified against the SDR and Argonne requirements when received by Argonne.

Terminology Repair: The process of restoring a nonconforming characteristic to a condition such that the capability of an item to function reliably and safely is unimpaired, even though that item still does not conform to the original requirement.

Use as is: A disposition permitted for a nonconforming item when it has been established that the item is satisfactory for its intended use.

Approved as requested: Argonne accepts the supplier's recommended action. This disposition is permitted when Argonne establishes that the nonconforming item or characteristic as reported will not affect intended use; the reported item may be offered for acceptance by Argonne. No correction of the item or characteristic is needed; however, the cause and supplier-recommended action to prevent recurrence of nonconformance is to be implemented.

Approved with comment: The supplier may proceed with processing in accordance with the Argonne remarks provided.

Rejected: The supplier's recommended action is not acceptable to Argonne. Argonne will specify the disposition on the SDR.

Supplier Instructions

1. Complete the fields as requested on page one of the SDR. Several nonconformances may be reported on one SDR for the same item.

2. Sign the form and e-mail it to supplierdispositions@anl.gov for action to be taken by Argonne. Action by Argonne is initiated when Argonne receives a copy of the SDR from the supplier.

3. When the SDR has been reviewed and the disposition is approved by Argonne, a copy of the SDR will be returned to the supplier.
