We Listen: From the very beginning of each engagement, we actively listen to get to know our clients’ unique pain points and aspirations, understanding where they are now and where they want to be in the future. We immerse ourselves in their culture and build trusted, authentic relationships at all levels. From the outset, we keep “big picture” strategic outcomes in mind.
2. We Adapt: As work begins, we collaborate with our clients at every step to co-create tailored approaches and solutions that work within their unique environments. Our team-oriented style leverages the collective brain power of our consultants and unleashes the power of our clients’ people to drive strategic outcomes. As priorities change, we remain flexible, and if needed, shift quickly to meet evolving needs.
3. We Get it Done: Our inclusive approach builds employee capacity, ownership, and buy-in, achieving goals defined at project kick-off and demonstrating tangible impact and business results. In partnership with our clients and their diverse stakeholder groups (e.g., leadership, managers, front-line employees, customers), we develop creative work products that not only “wow” our clients but create lasting results for their organizations.

Experience (4 pages for each category bid) (200 points)
Project 1 / Reference 1 – Change Management Length of Contract: 12/27/2017 – 12/27/2018 (Previous Contracts: 2013-2015, 2015-2016, 2016-2017)
Size of Company: 60,000+ employees
Project Scope: Our company led a project to prepare more than 70,000 stakeholders for a large-scale technology modernization of an Agile-built and deployed processing system to manage the global exchange of $3 Trillion in goods. For more than five years, we have worked with the client’s leadership to provide change management and transformation support across the change continuum, further usage of the system during deployment, and work with a complex network of stakeholders to adopt the new Agile development environment and technology. This has included ongoing change to business processes, policies, job workflow, and daily operations for more than 300 locations across the country, 12,000+ employees, and 3,000+ partner companies. Our firm continues to support this client on additional, related change management and transformation initiatives.
Project Goals: The client’s transition from the legacy system to their modern system impacted internal and external stakeholders. They moved from a largely paper process to a faster, more streamlined digital one. This has led to a revolution in the way daily business is conducted. Policy, regulations, procedures, and trainings have all been impacted, and enhancements continue to drive change. The magnitude of this change demanded a comprehensive Change Management Plan and strategy that effectively integrates stakeholder readiness and deployment, communications, and training. All stakeholders needed to understand how to use the new system capabilities in advance of deployment and ensure smooth implementation and adoption.
Project Actions: Our company provided Stakeholder Management, Stakeholder Readiness, Stakeholder Deployment, Overarching Communications Support, Executive Communications, End User Communications, Multi-Media Communications, and Training for this project.
• Stakeholder Management: Our firm served as the primary support for all stakeholder management efforts. We provided logistical and technical support at stakeholder meetings plus developed and maintained a library of talking points and briefing materials to facilitate meeting content. The client uses a propriety “Cheat Sheet” we developed to track the progress of ongoing enhancements to the system. When providing in-person support at meetings, our team assisted in the day-of support including documenting minutes at each meeting and provided support for conferences by designing handouts and other materials.
• Stakeholder Readiness: We served as the primary conduit between the clients, development teams, and other stakeholders. We provided support to each of these groups and developed a strong working relationship to gather information and consolidate it into implementation plans to help the clients ensure efficiency and avoid mistakes. We frequently facilitated working group calls and meetings to coordinate stakeholder input in the process and ensure that the development is consistent with the original intention of the enhancement. When nearing a deployment or transition point, our team served as the primary organizer of the implementation and cutover plans necessary to ensure a smooth transition. We considered possible communications, conflicting or complementary events, and potential downtime.
We also planned for necessary stakeholder outreach including support webinars, and post-deployment support. We developed a comprehensive plan including dates for specific stakeholder notifications, the messaging around those communications, plans for pre- and post-transition war room sessions and follow-up with necessary stakeholders.
• Stakeholder Deployment: Our company directed the system implementation and deployment of every major capability and enhancement. We created and maintained a schedule of development and deployment activities spanning seven departments. Each readiness plan tracked dependency and integration needs of activities and displayed upcoming risks, blockers, needs, and mitigation strategies to clear these hurdles. This has led to easier identification of potential risks, quicker resolution of potential roadblocks, and greater buy-in from capability owners. The necessary information on readiness, deployment, and change management tasks was collected during weekly meetings coordinated by our team to bring together all necessary parties. We assisted clients in forming mitigation strategies such as extended communications, specialized support, and increased coordination among stakeholders for potential impacts arising from IT deployments. We created materials and hosted conference calls, webinars, and meetings pre- and post-deployment with all stakeholders. And for external stakeholders, we worked with subject matter experts to maintain an inbox to triage and resolve inbound request.
• Overarching Communications Support: We maintained multiple SharePoint pages including an Outreach Calendar, a Change Management integration Calendar, and several trackers to coordinate efforts for communication activities. We provided review support and monitored and completed all website posting requests.
• Executive Communications: Our team authored reports, executive-level talking points, presentations, and issue papers for use by client staff. We staffed meetings such as town halls, director meetings, and high-level webinars, providing post-meeting notes, transcripts, and recordings when applicable.
• End-User Communications: Our company supported communication with end-users to provide updates on system developments, facilitating webinars, events, and calls with internal and external stakeholders.
• Multi-Media Communications: We created and redesigned several critical handouts, pamphlets, and infographics for the client’s external-facing website. And,
• Training: Our company provided support for several training activities by assisting with the creation of materials, facilitation of training webinars and calls, and review and editing of several training manuals.
Results Achieved: Outcomes of this project include:
Instituted a number of planning tools into the process to help stakeholders track assumptions, next steps, risks, and blockers. As a result, system deployments are now tracked with greater ease and risks/issues are mitigated well in advance of problems arising;
Managed a change agent coalition of more than 250 members, facilitating a weekly meeting to plan strategies that increased stakeholder engagement and coordinated a targeted outreach initiative to support the system transition efforts. This led to a greater transparency in targeted project communications;
Assessed impacts to stakeholder groups and developed customized change management plans, which led to greater user preparedness;
Developed an ongoing communications and change management plan and strategy, centered around providing branded resources and change adoption measurement, which fully prepared stakeholders for the transformation;
Introduced structured processes and tools that encouraged proactive planning and reassessment throughout the change management continuum; and, Analyzed Key Performance Indicators, such as webinar views and training material downloads, to identify and target end users requiring additional support.
Project 2 / Reference 2 – Change Management Length of Contract: 9/28/2016 – 9/26/2018 Size of Company: 12,000+ total employees Project Scope: Our company led the development and execution of change management activities for a client’s transition to a new business model and implementation of an online strategic sourcing and procurement platform. This engagement spanned a range of capability areas including change management, organizational assessment and design, talent strategy, and process improvement. We started at the top of the organization to diagnose their current problems. We then conducted an organizational assessment and engaged subject matter experts in a set of facilitated working group and coalition building meetings. Engaging leadership and key stakeholders throughout the process, our team designed a new organizational structure that best aligned to the client’s strategic vision. To facilitate change, we developed a strategic communications plan. As an input to this strategy, the team completed a thorough stakeholder analysis and conducted a communication assessment to determine the best-fit platform for outreach to each audience. We then developed templates, visual standards, and an editorial calendar to closely monitor outreach and ensure consistent messaging and content branding. Finally, we conducted organizational restructuring and planning, communications, stakeholder engagement, and training to increase adoption of the new system across the client’s organization and its partner agencies. In addition, we successfully redesigned the organizational structure to align with the client’s new principles, facilitating the future state mapping of 2,000+ employees in support of the organizational realignment. Our firm continues to support this client on additional, related change management and transformation initiatives.
Project Goals: Client leadership made the strategic choice to prioritize people support. Our company was brought in to provide support to Human Resources (HR) to help develop a Workforce Transformation Plan in alignment with the new organizational direction. The purpose of this plan was to address how employees and teams would be affected by organizational transformations, strengthening employee engagement efforts, assisting in planning workforce initiatives, and generally supplementing cross-agency HR offices with change management, strategy, program management, and process experts to collaborate on organization-wide transitions.
Project Actions: Our company facilitated the identification of the qualities and behaviors of effective leaders at all levels within the organization. Based on identified leadership competencies and needs, we developed resources, guides, and trainings to address these needs, and created a comprehensive digital platform to house all materials, and clearly guide individuals through leadership development resources. During this project, our firm’s change management support spanned multiple delivery areas, including:
• Acquisition Leadership Program: We developed a new leadership program to promote and enhance business efficiency through organizational process improvement and program methodologies, as well as knowledge transfer among leaders in Canada and the United States. Participants dived deep into understanding organizational problems, gained momentum through growing leadership skills directly applicable to solving organizational challenges, engaged in collaborative knowledge sharing, and participated in experiential learning activities.
• Reorganization Manual and Ongoing Support: We provided standard operating procedures and guidelines on the process of conducting an organizational alignment or reorganization. Our team also worked with the client to review and make updates to over 300 position descriptions needed as a result of the reorganization.
• Root-cause Analysis and Corrective Action Plan: We conducted a root-cause analysis of five key problem statements identified from a series of data points. We worked collaboratively with four groups to develop a recommended corrective action plan, which was approved by the organization’s budget office.
• Leadership & Employee Coalition: Together with client leadership, we examined 24 administrative, human resources, and finance processes. The coalition comprised of more than thirty critical points of contact and subject matter experts, aimed at gaining consensus on various process tasks, documenting frameworks for assigning responsibilities in the new organizational structure, facilitating procurement of critical resources, and bringing attention to issues needing support from key decision makers.
• Employee Appreciation Interview Guide: We conducted an assessment of current monetary and non-monetary award and recognition strategies, discovering gaps in usage and understanding. As a result, our team created an Employee Appreciation Interview Guide to help supervisors determine the types of recognition their employees prefer, and which monetary and non-monetary options would best fit their employee preferences.
• Intranet Website: We supported the redesign of our client’s intranet page by generating content to support each element of the eight-part talent management framework (workforce planning, recruitment and retention, workforce development and career management, performance management, awards and recognition, leadership development and succession planning). This effort included shortening, reformatting, and visualizing one-page overviews to provide relevant resources supporting employee growth and success. Additionally, each month, we selected one topic to provide in-depth content, with accompanying live events.
• Joining Forces: We supported the transformation of our client’s organization and a partner organization through facilitating eight working groups; this brought together leaders from each group to identify organizational strengths, challenges, and potential solutions.
