Services Summary

1.0 SCOPE

The focus of task order two will be to engineer solutions to furnish, install, secure, test, and maintain new Department of the Air Force Office 365 (DAF365) TEAMS rooms under future task order requirements. All existing conference and collaboration rooms need to be designed to support DAF365 TEAMS as the primary video and audio conference capability.

2.0 REQUIREMENTS

Solution Engineering

2.1.1 The contractor will utilize the inventory and initial site survey to engineer the required solution to create transition plans for each room listed in attachment 1 of IDIQ PWS. The transition plans will include a proposed equipment list, bench stock recommendations, control systems and network drawings, touch panel layouts, test plan, estimated equipment costs per proposed solution, and schedule for the transition to include room downtime. The contractor will provide transition plans to the government within 45 days of award for all Mission Critical rooms. The contractor will provide transition plans to the government within 90 days of award for all remaining rooms (Routine rooms). The government will review each plan and will require several meetings to discuss each option prior to accepting the proposed designs for additional task order requirements. 2.1.2 Current system configuration for rooms and network infrastructure support is comprised primarily of the Cisco product line. Acquisition of new systems for integration into the VTC/audio visual network will not be brand name specific. However, all acquired equipment must be UC compliant (hardware and software), be DoD certified, and compatible with existing VTC infrastructure. Certified equipment is listed on the US DoD UC Approved Product List (APL).

2.1.3 The contractor shall be responsible for procurement of the equipment, delivery, planning, project management, installation, integration, and testing of the equipment listed in their proposal. The contractor shall not make any procurement or begin transition until authorized by the Contracting Officer with an awarded task order.

3.0 DELIVERABLES, GOVERNMENT OVERSIGHT AND SERVICE SUMMARIES

All deliverables must meet professional standards and comply with the requirements set forth in this PWS. The contractor shall submit the following deliverables:

3.1.1.1 Transition Plans (A001): The contractor will provide the Government an initial transition plan within 45 days of award for all Mission Critical rooms and additional transition plans within 15 days when there is an identified need to adjust room configuration. Transition plans will include a proposed equipment list, bench stock recommendations and estimated equipment costs per proposed solution, and schedule for the transition to include room downtime. This requirement is compliant with this PWS, section 3.1 para. 3.1.1

3.1.1.2 Transition Plans (A001): The contractor will provide the Government an initial transition plan within 90 days of award for all routine room and additional transition plans within 15 days when there is an identified need to adjust room configuration. Transition plans will include a proposed equipment list, bench stock recommendations and estimated equipment costs per proposed solution, and schedule for the transition to include room downtime. This requirement is compliant with this PWS, section 3.1 para. 3.1.1

Quality of Deliverables

3.2.1 There shall be no more than one rejection of any deliverable. There shall be no more than one total rejection of deliverable per quarter. The government will reject a deliverable if two or more technical errors or two or more errors are found within the deliverable. A technical error is defined as the format not being in accordance with the deliverable or the content not being accurate and complete in accordance with the deliverable, PWS or contract. A minor error is exemplified by a typographical error, a grammatical error, etc.

The rejected deliverable shall be corrected and resubmitted within five business days of notification of Government rejection.

Receipt of Deliverable

3.3.1 Deliverables shall be submitted directly to the Government POC identified to the contractor. There shall be no more than one late submission(s) of deliverables per contract year.

3.3.2 The Contractor shall notify the Government if the delivery of any data/document will not meet the scheduled delivery date and negotiate a revised delivery date.

3.3.3 The data/document shall be delivered by the revised delivery date acceptable to the Government.

Services Summary

3.4.1 The contract service requirements are summarized in performance objectives that relate directly to the mission. The performance threshold briefly describes the minimally acceptable levels of service required for each requirement. The Services Summary (SS) provides information on performance objectives and the expected level of contractor performance to be successful. These thresholds are critical to mission success. Procedures as set forth in the contract will be used to remedy all deficiencies. The Government retains the right to inspect any item in the contract.
