About this file

This document is vendor training material for the myILMS (Integrated Logistics Management System) portal, specifically addressing order delivery and invoice submission procedures.

The training guide provides comprehensive instructions for vendors to access and utilize the cloud-based myILMS portal at mygrants.servicenowservices.com using Google Chrome. Vendors receive login credentials after completing training and lab sessions. The system workflow consists of three primary steps: Post creates and approves orders, vendors create and submit invoices, and myILMS transmits invoice data to Post for payment processing. Vendors can create invoices through two methods—directly from an order form or from the homepage—and must select an associated order number before proceeding. The invoice creation process involves four sequential steps: inputting invoice information (with auto-populated fields for Invoice Amount based on Remaining Order Balance, Invoice Date, and Payment Due Date set to 30 days out), selecting line items for invoicing (including partial invoices), uploading required invoice attachments and optional supporting documents, and reviewing submission details. Vendors can update line item quantities and unit prices, though unit of measure cannot be modified. The homepage displays recent orders and invoices in list format, sortable from oldest to newest, showing only orders with remaining balances greater than zero.

Invoice statuses progress through multiple states: Draft (editable only by the creator), Canceled (read-only and uneditable), Rejected (with rejection comments displayed; vendors can edit and resubmit), and Approved (read-only; payment disbursed within 3-5 business days). The portal automatically updates the Remaining Order Balance based on approved invoice amounts. The account creation process requires vendors to submit a request form providing First Name, Last Name, Email, Vendor Legal Name, Embassy/Consulate selection, and optionally Vendor Identification Number or sample Order Number. Once approved by Post, vendors receive portal access to manage orders and invoice submissions.
