About this file
This is Addendum No. 3 to a procurement solicitation issued by the Commonwealth of Kentucky for laundry and linen services at WSH and a nursing facility. The addendum extends the bid closing date from August 25, 2026 at 1:30 p.m. EST to Friday, September 4, 2026 at 1:30 p.m. EST to allow time for the agency to post responses to vendor questions. The expected contract start date is October 15, 2026, with the current vendor's contract end date of October 14, 2026. The facility operates 24/7/365 and requires all pickup and delivery of laundry between 6:00 a.m. and 8:00 a.m. EST, with variances only permitted with prior facility approval. The contractor must maintain seven to nine days of par linen on site plus emergency inventory for up to two days' usage. Average daily cart usage is 5-6 exchange carts, though this varies based on facility needs. Soiled linen is picked up from two separate buildings—one without cover and one with a garage door entrance—and a lift gate is required as no loading dock is available.
All costs for services must be inclusive in unit pricing with no separate reimbursable charges. Contractors must submit documentation of laundry and linen service experience with their bid for evaluation up to five points, with vendors not providing documentation receiving zero points and potentially being deemed non-responsive. Subcontractors are not permitted; the prime contractor must perform all work and provide all services directly. A full-time authorized service representative dedicated to the account must be designated, though this individual may be based outside Hopkinsville if all onsite and service obligations can be met. Proof of insurance is required prior to award. The facility currently maintains separate inventory areas for WSH and WSNF items, and the awarded vendor must work with the agency on implementation planning prior to contract commencement. The contractor will evaluate pricing based on estimated weekly quantities, with the 95-point price calculation derived from the bidder's total evaluated weekly cost across ten line items.

What is the CED for current linen vendor?
10/14/2026
Is there a dock where linen is to be delivered? Or will the driver need a truck with a lift gate?
There is not a dock. Lift gate will be needed.
Does your outside soil area have an overhang or is it under cover?
Soiled linen is currently picked up from two separate buildings. One is WSNF building which does not have an overhang or cover. Soiled linen is not stored in this area but is taken out as needed for pickup. The other location is our laundry building where soiled linens are stored inside and moved to the truck at a garage door type entrance.
How does the driver gain access to the building?
Driver may enter through outside door to facility. Staff will be on hand.
Does WSH currently use exchange carts? If so how many are needed per delivery?
Yes. Average daily usage is 5-6 carts; however, usage can vary daily depending upon the quantities to be picked up/delivered.
Does WSH currently keep 2 pars of linen on site in separate area?
Yes. Items for WSH and WSNF are keep in separate areas within the same building.
Is this a mandate that the new linen vendor shall keep 7 operation (9) days of par linen plus one for customer?
Yes. We are a 24/7/365 facility.
Customer is requesting nylon linen bags for rental for soil correct? Would WSH consider plastic?
Plastic would be considered. Structure/material would need to be heavyweight/durable/reusable.
Does WSH have any implementation expectations? To clarify if there is an specific expectation of how they want the new installation to run outside of the new linen company keeping 3 days of par linen on site prior to install.
If that is the case, how will WSH, keep the current linen vendors linen separate from the new linen vendors to ensure it is not mixed? Does that mean that WSH wants to start utilizing the new linen vendors linen 3 days in advance of the new install?
Why do they feel it is necessary to keep 3 par of linen onsite prior to install?
It will be expected that the awarded vendor will work with the user Agency on implementation prior to start of contract.
Delivery time from 6:00AM-8:00 AM EST. Is that a deal breaker, that they will not accept linen at any other time?
See Section 2- B Service Requirements: All pickup and delivery of laundry shall take place between the hours of 6:00 a.m. and 8:00 a.m. Variances from these times will only be allowed with the prior approval of the facility.
Are you currently keeping an extra 2 par of linen on site for Emergency in a sperate area?
In accordance with See Section 2- A Equipment and Supplies: The contractor shall have the ability to store emergency supplies at site for up to two (2) days’ usage on special request in order to meet licensing and regulations and Joint Commission for accreditation of hospital organization’s standards.
