About this file

This Scope of Work attachment outlines printing and distribution services for Prince George's Community College (PGCC) in Maryland. The College seeks a qualified contractor to print and distribute three issues of noncredit class schedules (Summer 2027, Fall 2027, and Spring 2028) in booklet format. Each issue requires printing 370,000 total copies with options to adjust quantities in increments of 1,000 copies. The booklets will measure 8.25" x 10.75" with an estimated 64 pages plus cover, printed on 35# newsprint with full-color covers and black plus one PMS color for text pages, bound with paste glue on spine. Approximately 366,000 copies of each issue will be mailed through the Upper Marlboro, Maryland Post Office to the Southern Maryland Sectional Facility in Capitol Heights, Maryland, with the remaining 4,000 copies delivered to the College campus. Project timelines include file delivery to the printer during the weeks of February 15, 2027 (Summer), March 5, 2027 (Fall), and October 1, 2027 (Spring), with corresponding delivery deadlines to the College and Post Office approximately six to seven weeks following file submission.

The contractor must comply with strict delivery requirements and quality standards as determined by the Office of Communications and Marketing, with financial responsibility for any unacceptable work. A late delivery penalty of $250.00 per calendar day applies to any delays in delivery to the Post Office or College. The contractor shall provide color proofs calibrated to press specifications and may be subject to College observation during press runs. Electronic file transfer will occur via PDF format through FTP login or cloud-based servers such as Dropbox. All materials prepared by the contractor, including discs and plates, become the property of PGCC and cannot be shared with third parties without written consent. The contractor must package deliveries to the College in bundles of fifty, boxed on wooden skids (not pallets), weather-proofed with shrinkwrap, and bound with steel bands. All excess class schedules must be returned to the College within one week after distribution completion. The contractor must complete a USPO 3602 form for each mailing and follow all applicable postal rate regulations, including SCF Discount Rate requirements.
