About this file

This is a DD Form 1423 (Contract Data Requirements List) for the procurement of HVAC Systems Warranty Plan documentation. The form establishes contractual requirements for a single data deliverable (Data Item A002) titled "Warranty Management Plan" for six 3-ton packaged HVAC units, with contract reference tied to PWS 6.1.5. The Requiring Office is the Contracting Officer's Representative (COR), and the form is classified as "OTHER Procurement" category. Government approval is required for this deliverable.

The Warranty Management Plan must be submitted once, 30 days prior to final acceptance, with updates required as needed thereafter. The contractor must provide one draft copy and one final copy to the COR. The plan must comprehensively address: (1) warranty terms and duration explicitly stating start/end dates for labor and OEM parts/compressor warranties validating one-year coverage from Government acceptance; (2) service contact protocols providing primary and secondary contractor Points of Contact with phone numbers and email addresses; (3) response time matrix defining guaranteed response times including standard response within 24 hours and emergency response within 4 hours; (4) clear delineation between warranty repairs and Government responsibility for routine preventative maintenance such as filter changes and coil cleaning; and (5) OEM documentation including all official warranty certificates, registration numbers, and serial numbers for all six installed units. The form was prepared by George Hargon on February 2024 and is subject to continuation on a second page.
