About this file

This is a delivery and installation requirements document for Sacramento State Prison, an informal competitive solicitation issued by the State of California for vending machine equipment. The project involves the delivery and installation of eight vending machines: four frozen vending machines and four cold food vending machines at Sacramento State Prison, located at 300 Prison Road, Represa, California 94671. The solicitation requires contractors to coordinate delivery at least two weeks in advance with the BEP Vendor and BEC, and all equipment must be delivered, installed, and fully operational within 35 calendar days after receipt of order. Installers must pass a background check administered by the California Department of Corrections and Rehabilitation (CDCR), and all personnel require security clearance to access restricted areas of the facility. The scope of work includes removing and disposing of eight existing vending machines, setting up and leveling all new units, testing for proper functionality, and training facility staff on operational features and preventative maintenance procedures.

The contractor's responsibilities encompass providing all necessary components for complete delivery, setup, and programming of machines, including removal of crating and packaging materials disposed off-site. The bid must include either a trade-in value offer for existing equipment or a declaration to move equipment to an approved recycler, with barcodes and recycling receipts required for payment processing. All goods must be newly manufactured, and no substitutions are permitted without advance written consent from the buyer. Invoices must include complete unit descriptions with delivery location numbers, brand, model, serial numbers, and warranty information on parts and labor. A truck with liftgate is required for delivery. Failure to meet the 35-day delivery deadline may result in contract termination for default. The contractor must notify the department within ten days if delivery terms cannot be met.
