Lodging For U.S. Department of Transportation – Volpe Center
Cambridge, MA 02142
Performance Work Statement (PWS)
1.0 Background:
The Volpe Center operates within the Office of the Secretary of Transportation Office of the Assistant Secretary for Research and Technology. The Volpe Center provides research, analysis and systems capability to DOT and other agencies requiring expertise in national transportation and logistics programs.
The Volpe Center, on behalf of the United States Department of Defense will be conducting a workshop to support the sustainability of partner-nation sponsored maritime surveillance systems.
2.0 Requirements:
a. The requirement is for up to two room blocks, during two separate time frames.
b. The first room block is for up to (10) rooms total from 26 April 2023 (Check In) through 28 May 2023 (Check Out).
c. The second requirement is for up to twenty-two (22) rooms total from 05 July 2023 (Check In) through 13 August 2023 (Check Out).
d. All rooms shall be at the same premises and shall be no more than no more than .75 miles from 55 Broadway, Cambridge, MA.
e. The hotel rooms will be furnished with kitchen amenities at a minimum that include: a refrigerator, microwave oven, cook top stove /conventional oven, dishwasher, microwave oven, pots & pans, utensils, serving dishes, and silverware. Internet services shall be included as part of the room rate.
f. Each occupant will be responsible for his/her own incidental charges secured by either a credit card or a refundable cash deposit of no more than $100.00. All incidental charges incurred are to be paid upon checkout by the attendees.
g. The Government will not be liable for any local or long-distance telephone calls made by the occupants. The Contractor shall be responsible for the collection of telephone bills for calls made by the occupants.
h. The Government assumes no liability for damage caused by the occupants. The Contractor shall be responsible for resolving any damage claims caused by an occupant; and, the Contractor shall be responsible for notifying the Volpe Center
Technical Point of Contact of any claims against an occupant and the nature of the incident not later than 24 hours after the incident.
i. In both instances, at least 7 days prior to attendee arrival the Volpe Center will provide a tentative occupant rooming list to the contractor; however due to circumstances beyond the control of the Volpe Center (visa and US entry arrival issues) we will be unable to confirm the final number of rooms until 7 days prior to arrival. Cancellation of rooms up to 7 days prior to arrival shall not result in any cancellation costs.
j. CLINS 00500 or CLINS 00600 would be exercised in the event of a medical or other emergency precluding the room occupant from being able to check out of the room on the expected check out date of either 28 May 2023 or 13 August 2023.
3.0 CLINS:
a. CLIN 00100: The Contractor shall provide five (5) rooms from 26 April 2023 through 28 May 2023, for (32) nights total.
b. OPTIONAL CLIN 00200: If exercised, the contractor shall provide up to five (5) rooms from 26 April 2023 through 28 May 2023, for (32) nights total.
c. OPTIONAL CLIN 00300: If exercised, the contractor shall provide up to provide up to ten (10) rooms from 05 July 2023 through 13 August 2023, for (39) nights total.
d. OPTIONAL CLIN 00400: If exercised, the contractor shall provide up to twelve
(12) rooms from 05 July 2023 through 12 August 2023, for (39) nights total.
e. OPTION CLIN 00500: If exercised, the contractor shall extend up to ten (10) rooms for up to 14 additional nights from 28 May 2023 through 10 June 2023.
f. OPTION CLIN 00600: If exercised, the contractor shall extend up to twenty-two
(22) rooms for up to 14 additional nights from 13 August 2023 through 26 August 2023.
3.0 Period of Performance:
The anticipated period of performance is 26 April 2023 through 28 May 2023 with period of performance for optional periods, if exercised, through 26 August 2023.
