SITE VISIT

Days are available for appointment June 26-28, 2023 for up to four (4) hours 9:00 AM to 1:00 PM CT

a. If the vendor has not visited the site, it is strongly urged to do so. It is considered impracticable to determine, without inspection, the exact nature of the work and the condition of the site under which the work is to be performed. Because NARA will not provide the plans of the facility to quoting vendors, it is making available appointments for the vendor to engage in detailed examination and the opportunity to make measurements of the installation site. The site visit is by appointment only and only currently register vendors in SAM will be allowed to make an appointment. Days are available for appointment June 26-28 for up to 4 hours 9:00 AM to 1:00 PM CT. Vendors shall be limited to four (4) persons to make the site visit. A single Vendor team will only be scheduled on site at a time. This will provide vendors the opportunity to inspect the government furnished property; equipment, facility, and site which services are to be performed; and the general and local conditions that may affect the costs and performance of the prospective order, to the extent that the information is reasonably obtainable. The vendors will be provided an opportunity to view the site plan during the site visit.

b. In no event will failure of the vendor to inspect the Government furnished property; equipment, facility, and site which services are to be performed; and the general and local conditions of the site relieve the vendor from assuming all responsibility for properly estimating the price, difficulties, and the conditions, including safety precautions, that may be encountered during performance, nor will failure to inspect the building and site constitute grounds for a claim after order issuance.

c. Questions will not be answered at any time during the site visit. Vendors must submit their questions in writing to Kevin Schumacher, at Kevin.schumacher@nara.gov, no later than 4:00 PM CT on June 30, 2023. Subsequent to the site visit, if required, an amendment containing an abstract of the questions and answers will be issued.

d. Vendors are cautioned that, notwithstanding any remarks or clarifications given at the site visit, all terms and conditions of the solicitation remain unchanged unless they are changed by a solicitation amendment. If the answers to site visit questions or any solicitation amendment create ambiguities, it is the responsibility of the vendor to seek clarification prior to submitting a quotation.

e. In order to access the facility, vendors should be prepared to show a Government-issued photo identification card, and if driving, proof of automobile insurance and registration.

f. Vendors are to send email to NARA POCs kevin.schumacher@nara.gov and kevin.mcmurry@nara.gov by June 22, 2023 with name of representative and to set an appointment for the individualized site visit. Only individuals with appointments will be allowed to attend the site visit. NARA may make available additional days at it discretion to complete site visits.
