About this file
This document is an Addendum #4 to a Request for Quotation (RFQ) issued by the School Board of Volusia County, Florida for Sound System Equipment & Installation, with Solicitation #RFQ-2025-9028. The RFQ is for sound system equipment and installation, with a solicitation opening date of February 20, 2025, at 1:00 P.M. EST. The addendum addresses nine specific questions from potential vendors regarding equipment reuse, mounting configurations, mixer mobility, network cable installation, and project completion timelines. The key focus is on installing a new sound system with specific requirements for equipment placement, cable routing, and flexibility for mixing during performances.
The addendum clarifies that the full project should be completed by February 28, 2025, with limited flexibility for partial completion. The school district emphasizes the importance of meeting the deadline and warns of potential liquidated damages if the project is not completed on time. If project completion is delayed, the contractor will be responsible for the cost of rental equipment for the school's musical. The document provides specific guidance on equipment placement, including the ability to move the mixer around the room and the need for network cable installation between the proscenium wall and the rear wall of the cafetorium.

REQUEST FOR QUOTATION (RFQ) – ADDENDUM # 4
ADDENDUM POSTING DATE: PROCUREMENT CONTACT & TELEPHONE:

SOLICITATION TITLE & NUMBER:
Solicitation # RFQ-2025-9028 Sound System Equipment & Installation
SOLICITATION OPENING DATE & TIME:
February 20, 2025, by 1:00 P.M. EST
NOTE: SOLICITATIONS RECEIVED AFTER THE DUE DATE AND TIME WILL NOT BE ACCEPTED.
The original Request for Quotation (RFQ) documents remain unchanged and in full force and effect, except as modified herein. This addendum shall take precedence over any conflicting provisions in the prior documents.
Please note that the solicitation opening date and time have been revised to February 20, 2025, at 1:00 P.M. EST.
The following questions have been received, and the answers to each question are below.
1. Upon review of the existing equipment, only the Shure BLX88 Wireless Receiver was identified to potentially be re-used.
Please verify this does not need to be permanently mounted in the system cabinet (as it does not support remote antennas) and can be plugged into the Mixing Surface locally if additional wireless microphones are required. We anticipate two (2) additional spare 6 Foot Microphone Cables to be required for this device.
Answer: That will be fine as long as it has cabinet space to live in (either rolling or it’s own space to live in).
2. The plate location identified to connect the existing speakers to the new mixing console had connections for hanging and potentially wall microphones identified as not being used, please verify the existing wall plates for these un-used inputs should be “Blanked Off” to avoid future confusion as many connections were identified in this location.
Answer: Yes, correct.
3. As the Gator Case specified would not support the Mixing Surface and the top of the case for the next larger unit did not appear to be capable of closing, please verify the SKB Mighty Rig with Expander is acceptable for use on the project in lieu of the cabinets specified. With this approach, a portion of the equipment can be located on the stage and be powered by the circuit associated with the Fire Alarm Relay allowing the system to mute during Fire Alarm events and allow the mixer to be moved in the future.
Answer: The mixer should be able to travel around the room. It will live in one location next to the stage primarily, and for productions it needs to be able to travel to the back of the room for mixing purposes.
4. While an additional network cable was discussed to allow the mixer to be relocated to the back of the Cafetorium, as the Allen and Heath has a Free Download of SQ MixPad available, please verify the school can provide a Wireless Router and IPAD to allow this feature to be used. To avoid conflict with any existing wireless systems, we anticipate this portion of the approach to be configured by district personnel.
Answer: It is most preferable that the mixer can be relocated to the back of the room during productions. Either by long Cat 5 cable D Snake option or by second input that travels from the main rig to the back of the room through the ceiling.

5. In the event a network cable is to be provided and installed between the proscenium wall speaker input location and the Cafetorium Rear Wall, please verify this is to be provided and installed by others as district specifications for this type of cable has not been presented with this RFQ. If this cable is to be installed during this project, please verify if a permit is required.
Answer: The cable should be included in this project and installed by the company doing the work. No one in house to do this type of work.
6. Please verify the existing wall cabinet at the current mix location is to be removed by others and not required to be performed on this project.
Answer: Yes, we will have maintenance department remove this cabinet.
7. Site inspection identified extension cords and other non-standard installation practices. Please verify the connections to the plate that supported the existing speakers identified a point of demarcation for this project and there is no requirement for bringing other portions of the system up to district standards.
Answer: VCS Maintenance will be addressing this.
8. Due to the available time prior to the February 28, 2025, completion timeframe established in the RFQ, some product may not be available with sufficient time to install. In the event this is the case, please identify if a portion of the project can be complete on that date, and if so, what portion is acceptable allowing the remaining time before the performance to complete any remaining items?
Answer: We would like for the full project to be completed by the completion timeframe if possible. There is a limited time frame available beyond the deadline.
9. As not all vendors capable of bidding on this RFQ have rental capabilities, please identify a cost associated with Scope of Services Item 6 that can be carried as a line item to allow the school to obtain these services in the event material delays hinder completion of the project.
Answer: If the project completion is delayed beyond the deadline of February 28, 2025, liquidated damages will be applied. The cost of rental equipment for the school’s musical will be applied at the Contractor’s expense.
