Addendum 1 – RFQ S-24800-00008490 1
November 13, 2023
SUBJECT: Addendum 1 to RFQ S-24800-00008490 – Camp Rilea Building 7022 HVAC Replacement
TO ALL PROSPECTIVE BIDDERS AND ALL OTHERS CONCERNED
1. The changes, clarifications, omissions, additions, and alterations in, on, and to the bidding information and specifications shall apply to the bids submitted for and to the project indicated above. Except as modified by this Addendum, all of the terms and provisions of the Request for Quote (RFQ) for the above listed project remain in full force and effect. This Addendum Number 1 supersedes all previous instructions pertaining to the items listed:
SUPPLEMENTAL INFORMATION – RESPONSES TO QUESTIONS
2. Responses to Questions: Following the advertisement and issuance of the Solicitation, all prospective bidders were provided the opportunity to ask questions and request clarifications related to the Solicitation in writing up to November 7, 2023.
The following list is comprised of questions submitted by prospective bidders in writing.
#1: I understand that the quote is looking for as close to like-for-like as possible, but does that mean the same brand as to what is existing as well?
<Response> No, the requirement is for equivalent new high efficiency HVAC units capable of providing equal performance capabilities as the existing units.
#2: When we walked the site, we were shown 2 separate HVAC systems that served the building. The bid only lists one system but states one packaged HVAC system. Does that mean we're being asked to replace one split system, both split systems, or replacing both split systems with a packaged unit (ie: RTU)?
<Response> No, the requirement is to replace the indoor and outdoor units for the one (1) split system that was surveyed.
#3: Concerns for building 7022 are regarding safety. The stairs to the mechanical room are more like a ladder than stairs. I’d like your feedback and instructions on how to manage getting up and down the stairs safely. The stairs are difficult to manage, just to walk up and down let alone moving materials and a 7-ton air handler up and down.
Here are my suggestions. First, we would need to remove the door at the foot of the stairs. Second, we need a way to safely remove and add a 7-ton air handler up and down the stair well. Would we be allowed to tack weld a pipe in the stair well? Also, penetrate a hold down of the pan deck in the mechanical room. This would allow us the opportunity to be able to use a come along to slowly lower equipment down the stairwell safely. This would include grinding, minimal welding, and repainting upon completion. We would provide a Firewatch for the welding as well.
<Response> Contractor shall be responsible for the means and methods of the construction project, including the safety of those on site. Safety-related costs should be included in contractor bids.
The contractor is responsible for repairs on all architectural and structural work required to accommodate new HVAC units in accordance with the Statement of Work.
Addendum 1 – RFQ S-24800-00008490 2
#4: Are Mechanical and structural permits to be included in our quotes?
<Response> Yes, permits must be included in contractor bids.
3. This addendum must be acknowledged and submitted for this project. By acknowledging this addendum, the Offeror agrees they have read and understood the above mentioned changes, and have incorporated those changes into their Offer. Offeror: Initial here ________________
