About this file
This addendum clarifies key operational details for a hospital linen, mat, and mop supply contract. The contract encompasses three integrated service components that cannot be awarded separately: linen laundry services, mat provision and maintenance, and mop supply. The hospital maintains an estimated inventory of 60 mats that require complete changeout every two weeks, necessitating the vendor to maintain equivalent clean inventory for swap-outs. Linen services operate on a twice-weekly delivery and pickup schedule totaling 104 annual transactions, with each pickup involving approximately 4,500 pounds of clean linens. The vendor must maintain sufficient inventory to replace all soiled linens taken for laundering, ensuring the hospital maintains consistent inventory levels at all times. Annual quantities listed in Exhibit A represent estimated totals rather than per-delivery amounts, with the mat service requiring 26 complete inventory rotations annually.
The addendum establishes that all three service components—mats, mops, and linens—must be contracted as a single award with no option for separate procurement. The vendor bears full responsibility for maintaining duplicate or greater inventory quantities to support the hospital's operational requirements for continuous clean linen and mat availability. The twice-weekly linen pickup and delivery cycle with 4,500-pound minimum replacement capacity and biweekly complete mat rotation establish the baseline service expectations and vendor resource allocation requirements.

ADDENDUM #1
QUESTION #1:
Are the quantities listed on Exhibit A an annual total? (i.e. Mat, Walk Off/On, 3’ x 5’, changed every 2 weeks 125) Would this mean approximately 5 per delivery times 26 deliveries per year?
ANSWER #1:
The quantities listed in Exhibit A are the annual estimated totals; however, on the mats, it is not 5 per week that are changed out. All of the mats in the Hospital are changed out every 2 weeks. The Hospital has an estimated 60 mats that will all need to be changed out every 2 weeks. The vendor will have to maintain the same amount in their inventory in order to have clean ones to swap. For the linens, the Hospital has 2 deliveries/pick-ups per week for a total of 104 per year. The estimated total clean pounds is 4,500 per pickup. The vendor will have to maintain that amount or more in their inventory in order to replace all of the dirty that is taken. The expectation is that all linens that are taken to launder are replaced, so the Hospital has the same inventory at all times.
QUESTION #2:
Can the mats and mops be awarded separate from the linen?
ANSWER #1:
No, the mats and mops can’t be awarded separately. The contract will be inclusive of the mats and mops along with the linens.
