About this file
This is a Pricing and Delivery Schedule form from The University of Texas Health Science Center at San Antonio (UTHSA) for RFP 745-26-P34 regarding SABCS Audiovisual (AV) Services. The project involves providing comprehensive audiovisual production services for the San Antonio Breast Cancer Symposium, a major international conference attracting over 10,000 attendees with approximately 2,000 presentations over four days at the Henry B. Gonzalez Convention Center. The contractor must deliver large-scale AV services including multi-room support, projection, audio, lighting, presentation management, and live streaming with capacity to handle simultaneous sessions and plenary audiences exceeding 7,000 attendees. The contract will have an initial term of a specified number of years with options for up to three additional one-year renewal terms at the discretion of the University.
Pricing shall be based on firm hourly rates for all team members, with rates remaining fixed throughout the contract term and renewals. All hourly rates must be inclusive of labor, equipment, materials, fees, overhead, profit, insurance, licenses, and all other related costs necessary to meet the scope of work requirements. Reasonable travel expenses including meals, rental cars, mileage, coach airfare, and lodging will be reimbursed without markup, subject to the Texas Comptroller of Public Accounts Travel Reimbursement Rates and a mutually agreed maximum expense cap. The University operates under standard net 30-day payment terms as mandated by the Texas Prompt Payment Act, with payments made through electronic funds transfer methods including ACH. All invoices must reference a valid purchase order, be submitted electronically to AP-einvoice@uthscsa.edu, and include detailed descriptions of services rendered. The University is exempt from Texas Sales and Use Tax and does not guarantee any specific volume or minimum/maximum compensation under this RFP.
