About this file

This is a "No Response" feedback form issued by the City of Alexandria for vendors choosing not to submit a response to the Durant Roof Replacement solicitation. The form is designed to gather feedback from non-responding vendors to support the City's continuous improvement of its procurement processes. Vendors are encouraged to indicate primary reasons for not responding by selecting from seven predefined options: the products or services are not offered by the company; specifications are unclear or unduly restrictive; insufficient time to prepare a response; business inability to handle the project; unacceptable general terms and conditions; unsatisfactory experience on previous City contracts; or other reasons. The form provides space for vendors to elaborate on their selected reasons and additional comments on the reverse side or separate sheets, with instructions to reference the corresponding item number in extended explanations.

The form emphasizes that feedback from non-responding vendors is valued as an important component of the City's efforts to improve procurement practices and create more effective, fair, and transparent processes that benefit the City, vendor community, and citizens. The specific project referenced is the replacement of the roof at the Oswald Durant Center located at 1605 Cameron Street, Alexandria, Virginia, being solicitated on behalf of the Department of General Services. The form itself contains unfilled checkbox fields and text entry areas for vendor responses, indicating this is a template document provided as part of the solicitation package to collect non-response feedback.

“NO RESPONSE” Form

Attention: Vendors Who Are Not Submitting a Response to This Solicitation

To support continuous improvement of the City’s procurement processes, Vendors that choose not to submit a response are encouraged to provide feedback by indicating the primary reason(s) by selecting the option(s) below and providing additional details where requested. If needed, additional information can be shared on the reverse side of this page or on separate sheet. Please include the item number (1-7, below) as part of continued explanations

1. [ ] The products or services requested are not offered by my company.

2. [ ] The specifications were unclear and/or appear to be unduly restrictive. (If selected, please describe the concern and, if applicable, provide information regarding the Vendor’s relevant products or services.)

3. [ ] The Solicitation schedule did not provide sufficient time to prepare and submit a response. (If selected, please describe the concern. 5. [ ] The general terms and conditions for this Contract are not acceptable to my company. (Please explain)

7. [ ] Other. (if selected, please describe.)

The City appreciates the time and effort taken to provide this feedback. Information received from vendors who choose not to respond is an important component of the City’s ongoing efforts to improve its procurement practices. Such input supports more effective, fair, and transparent processes that benefit the City, the vendor community, and the citizens it serves.
