About this file
This is a Written Response Template evaluation document for Independent School District #535 (Rochester Public Schools) in Minnesota, used to assess vendor proposals for replacement and service of high-volume production equipment at its centralized copy center, Paper Tiger. The District seeks qualified vendors to replace existing production equipment with manufacturer-certified devices and implement a 60-month service and maintenance agreement with a 12-month extension option. The proposal must address the District's current production environment of approximately 20.4 million black-and-white copies and 1.2 million color copies annually, serving over 18,700 students and 2,800 staff members. Vendors must demonstrate comprehensive understanding of the centralized copy center's operational role in K-12 instructional delivery, current production volumes and peak workload periods, and existing equipment limitations.
Vendor responses must address 14 specific evaluation criteria spanning proposed solution architecture, workflow integration with EFI Digital Storefront/MarketDirect, implementation and cutover planning, training for a three-person production team, service and support models with required 3-hour or less on-site response times, device uptime expectations, software stability and update protocols, sustainability initiatives, and business continuity strategies. Additional requirements include account management and escalation structures, performance metrics and reporting capabilities (uptime, service response times, maintenance activity, production volume), and documented experience supporting comparable K-12 print centers of similar size and complexity. The solution must achieve 99% uptime, reduce operational costs, improve energy efficiency, and ensure seamless workflow integration while supporting long-term scalability and reliability for the District's high-volume printing operations.
