About this file

This is a Scope of Work document for the City of Arlington, Texas, soliciting bids to procure two (2) fully autonomous, all-electric mower systems designed for large-scale sports turf maintenance. The procurement aims to eliminate fuel and hydraulic leak risks, improve operational efficiency across large complexes, and support consistent maintenance schedules. The City seeks solutions capable of maintaining properties exceeding 100 acres with high-efficiency productivity, minimum 15-acre single-charge capacity, variable mowing speeds up to 5 mph, and the ability to maintain a 160-acre complex through multiple operational cycles in one week. The successful bidder must provide fully electric systems with no internal combustion engines, hydraulic systems, or fuel-based components, along with autonomous operation capabilities including programmable routes, remote monitoring, cloud-based management, obstacle detection, emergency stop functionality, and integrated GPS or cellular communication. Required deliverables include system delivery, setup, calibration, on-site staff training, and initial operational support. Award will be made to the lowest responsive and responsible bidder meeting the specifications or providing City-approved equivalents.

Pricing shall include base unit costs, all required components and accessories, delivery, setup, and staff training. A minimum one-year warranty (or manufacturer standard, whichever is greater) is required, covering parts, labor, software updates, and technical support. Bidders may propose equivalent products if they clearly identify all deviations from specifications, provide complete technical documentation, and demonstrate equal or superior performance, with the City retaining sole authority to determine equivalency. All bids must include completed bid forms, technical specifications, product literature, warranty documentation, and delivery schedules. The City of Arlington exclusively uses the Bonfire platform for solicitation notification and dissemination; bids submitted through other means may result in incomplete specifications or non-compliant submissions. Electronic submission is strongly encouraged, though sealed paper bids are accepted if properly labeled with company name, solicitation number, and title. Late bids will not be accepted.
