About this file

This is a cost proposal form for Denton County, Texas, seeking sealed proposals for the lease and full-service support of a countywide multifunction copier fleet under RFP 26-2902. The County requires proposers to provide all equipment, installation, network integration, relocations, training, maintenance, service, warranty support, and related labor and materials to support a reliable and efficient fleet across multiple locations. The solution must deliver consistent performance across device types with high-quality printing, scanning, and document handling capabilities. The County intends to award one supplier based on evaluation criteria and reserves the right to accept or reject any proposal in whole or in part. The contract term is 60 months, and the County anticipates a pooled print environment with annual copy volumes of 7,500,000 for black and white copies and 1,100,000 for color copies.

Pricing shall be structured as a cost-per-copy model inclusive of service, maintenance, toner, and all related costs, based on quarterly lease pricing for device categories including black and white low, medium, and high volume units, as well as color low to medium and high volume units. Proposers must provide separate pricing for accessories including fax modules, hole punch, high capacity trays, paper decks, mobility/print release software, and card readers with secure access. Overage pricing applies only to volumes exceeding the anticipated annual usage. The evaluation scenario requires proposers to complete five representative deployment configurations without introducing alternative pricing structures, maintaining consistency between the cost proposal form and evaluation scenario. All pricing fields must be completed including quarterly lease costs per unit, extended quarterly costs, annual costs, and 60-month contract term costs.
