About this file

This is an Amendment No. 1 for a Request for Proposal (RFP No. 2025025) issued by Waukesha County's Division of Risk Management & Purchasing in Wisconsin for HVAC filters. The RFP is specifically for the supply of air filters, with a submission deadline of July 29, 2025 at 10:30 a.m. The contract will be awarded in the aggregate to the lowest responsible, responsive bidder who complies with specifications and can meet delivery requirements. The current contract was previously held by Airway Sales, Inc. under Bid 20017, and this new solicitation seeks to replace that arrangement. Quantities provided are approximate for annual usage, though actual usage is not guaranteed, and departments will order filters as needed using purchase cards.

Pricing is to be fixed and includes delivery costs, with no additional freight fees permitted. Delivery requirements specify that shipments should be made between 7 a.m. and 4 p.m., with most delivery locations having docks and pallet jacks, while some will require a lift gate. The County will accept delivery within 5 days of request. Notable specifications include a modification to replace all MERV 8 references with MERV 10, and most filters should have metal backing except for one specific Polypad filter. No bid bond, performance bond, or payment bond is required, and all requested information is included in the solicitation on the Bonfire portal. The successful bidder will be provided with billing address and account payable contact information after award.
