About this file

This document is a Request for Bid (RFB) issued by Waukesha County, Wisconsin for HVAC Filters, designated as Bid #2025025 with a bid date of June 3, 2025. The bid covers a three-year contract period from October 1, 2025, through September 30, 2028, with potential for two additional one-year extensions. Bidders must submit electronic responses through the Waukesha County Bonfire website, with delivery capability within 3 days of request. The County will primarily use these filters for the Department of Public Works (DPW) Facilities Management, with additional smaller orders from other county departments.

Pricing terms require vendors to provide per-unit pricing with case sizes noted, with no minimum order quantities allowed. The initial contract year's pricing must remain firm, and subsequent years may have price adjustments based on Energy commodities in the Midwest urban consumer index. Waukesha County offers a "piggyback" provision allowing other local government units in Southeastern Wisconsin (within a 50-mile radius of Milwaukee) to potentially use the contract. The County prefers payment via P-Card and requires vendors to accept credit card payments inclusive of all associated fees. Bidders must be registered to do business in Wisconsin and comply with state statutory requirements for out-of-state entities.
