About this file

This is a Q&A document containing 10 vendor questions and responses related to HVAC testing and cleaning services at Jesse Brown VA Medical Center. The questions clarify requirements including approximately 250-260 diffusers to be serviced, availability of ductwork drawings (partially available in Attachment C), and protocols for servicing isolation rooms based on patient occupancy and contingency plans.

Key technical details include that cleaning is exclusively for air handlers and auxiliary components like fresh air screens and attenuators, but not for duct cleaning. Hospital experience is preferred but not required. The scope includes quarterly ACH testing in Crown Point, Indiana dental areas (added as a separate CLIN X00). HEPA recirculating air equipment is not required at every entry/exit point, but deployment depends on project risk assessment team evaluation. The document also clarifies that "EF-1 & EF 1A" refer to exhaust fans responsible for isolation rooms in the Bed-Tower Pavilion HE-18A, with remaining hood exhaust requiring cleaning once within a five-year schedule.

Questions from Vendors:

1. What are the grill counts for the rooms/areas to be serviced?

Estimate 250-260 diffusers.

2. May you provide duct work drawings for the rooms/areas to be serviced?

Unfortunately, not all but majority of drawings are available. Drawing available are provided in Attachment C.

3. Are the isolation rooms to be serviced during or after business hours?

Isolation room/s availability is discerned strictly by patient count and contingency plan/s. IE- if isolation room number 1 is scheduled to be cleaned February 26 of 2025 and isolation room number 2 is available on that scheduled date, the testing and/or cleaning will commence as soon as possible regardless of time of day.

4. We would like to request the ACH reports from the last years testing – this will give us the room Cubic Volumes.

See Provided Attachment C.

5. Are you able to provide a full set of the HVAC Drawings?

No

6. On page 13 of 67, there are abbreviations beneath the Quinquennial cleaning schedule. E.g., "EF-1, EF-5, H-18A," etc. To what do these refer? (I couldn't find the abbreviations anywhere else in the document, and there is no "Exhaust Fan 5" for me to correlate them to, despite my best guesses.)

EF-1 & EF 1A are solely responsible for the isolation rooms located inside the Bed-Tower Pavilion HE-18A and the remaining hood exhaust are to be cleaned once within a five-year schedule.

7. Is there duct cleaning for air handlers ?

No, cleaning is exclusively for air handlers and/or auxiliary cubes. IE- fresh air screens, attenuators, air diffusers etcetera.

8. Do you have to have hospital experience ?

Preferred but not necessary.

9. In regard to B.3 STATEMENT OF WORK/PWS 4. Detailed Scope of Statement: A. Contractor shall conduct Quarterly Air Changes per Hour (ACH) testing, balancing, adjustment and certification of the following ventilation systems: Room Description ABJ CBOC # 1-4 Area Location Crownpoint, Indiana . Is work being performed in Indiana? Or misprint ?

Crown Point Indiana Dental area requires ACH testing annually. This location is being added to the SOW and as a separate CLIN (CLIN X00

10. Applicable Performance Standards: h. Is it required to have HEPA recirculating air equipment outside the workspace at every entry / exit point ?

No, deployment of recirculation machines depends on the area per PRA team (Jesse brown project risk assessment) COR will notify circulation machines are required.
