About this file

This is an Addendum No. 1 to a Request for Proposal issued by Kaysville City for the replacement of audiovisual systems in the City Council Chambers and Police Department Emergency Operations Center. The addendum, issued on August 25, 2026, clarifies project requirements and revises the evaluation criteria. The pre-proposal site walk is scheduled for September 8, 2026, at 2:00 p.m. Mountain Time at Kaysville City Council Chambers (23 E. Center Street, Kaysville, Utah 84037) and will include the Police Department Emergency Operations Center. Attendance at the site walk is optional but encouraged. Proposals must be submitted as a single electronic PDF file to AVProject@kaysville.gov no later than September 30, 2026, at 5:00 p.m. Mountain Time. Questions regarding the RFP must be submitted in writing to AVProject@kaysville.gov no later than September 21, 2026, at 12:00 p.m. Mountain Standard Time. Firms intending to submit a proposal should email a letter of intent before the site walk.

The revised evaluation criteria establish a maximum total score of 55 points across nine criteria. The two priority criteria—Council Chambers speech intelligibility and room audio performance, and reliability, maintainability, and long-term support for all four spaces—are each scored from 1 to 10 points (20 points combined). The remaining seven qualitative criteria, including Police EOC technical approach, Council and Staff Conference Room technical approach, ease of operation and management, implementation and training plan, vendor experience and local support capability, and total cost of ownership, are each scored from 1 to 5 points. A new criterion, Pre-Proposal Site Walk Attendance, awards 5 points to proposers represented at the September 8, 2026 site walk and 0 points to those not represented. Attendance at the site walk does not disqualify proposers from submitting proposals but impacts their evaluation score.
