About this file

This document is a Questions & Answers (Q&A) addendum for Request for Bid (RFB) 25-BM11 for the City of Sun Prairie, specifically for carpet replacement at City Hall and Fire Station #1. The bid seeks a contractor to replace carpeting and luxury vinyl plank (LVP) flooring in various areas, with a questions deadline of 7/31/2025 and answers posted by 8/7/2025. The project scope includes replacing carpet in offices, high-traffic hallways, and specific areas like Office 226, while also installing LVP in the admin area's high-traffic hallways. The city prefers the work to be completed at the end of November or December to minimize disruption, with no set working hours and access badges to be provided.

Key project details include contractors being responsible for raising cubicle walls, moving desks, and working around furniture, while the city's IT department will handle electrical wires and outlets. Bathrooms and the elevator will not have flooring replaced. Baseboards at the Fire Station will be matched to those at City Hall, and the closet in Fire Station 1's Office 1 will be converted to LVP. Contractors are allowed to provide alternate flooring costs if exact LVP specifications are unavailable. The city has provided a floor plan (Attachment 3 City Hall 2nd Floor Plans) for reference, and contractors are expected to coordinate their schedule with the Facilities Supervisor.
