Bidders Questions SAA Responses

Has this kind of delivery distribution ever been done before, i.e. is there an existing model? No, this is a new requirement. We have shipped minimal cabinets prior on as needed basis.

Would there be multiple server cabinets shipped at the same time? Or would they be sent separately and should be shipped as individual orders? Individual orders. There will not be more than one cabinet in one location at a time.

Will there be casters on the bottoms of each cabinet? Please stipulate if the casters need to stay on the cabinet or could be taken off. No, there will not be casters on the bottom.

What kind of screening is done for the truck before it enters the US Capitol grounds? Is there a long check in process or an off-site location the truck starts at before the pick up?

Screening is done at an offiste facility. The driver has an allotted time to make it to the pick up location on Capitol Hill and the truck will be sealed until they arrive at that location. Driver and vehicle information is required 48 hours in advance.

The RFP shows hourly rate bid lines for each asset - are we to assume that long distance deliveries are also charged on an hourly basis? This is not typical; hourly can be used for prep and loading/unloading, but mileage is generally billed for transit. Bidders should provide shipment rates for nationwide moving services from Capitol Hill to various state offices throughout all 50 states.

Who will be generating the Bill of Lading that contains delivery POC info and requires a signature at delivery? The SAA will provide the Bill of Lading.

All pricing categories list a "Time and Material" section in addition to the hourly rate, but do not specify what equipment, materials, disposal costs, etc are to be included. Is the hourly rate intended to encompass all of these, or is more detail permitted in an attached document? Bidders are permitted to provide more detail in the pricing table, as necessary.

Do you have any history as far as the frequency and amount that has been required in the past at each location? This will help provide the most competitive pricing possible.

No, this is a new requirement.

If you have specific addresses for the offices involved, we can use them for developing detail for both shredding and server moving. Specific office addresses will be disclosed to Contract awardees.

Identifying the quantity of USB drives would also be helpful; small amounts can be included in the paper shredding, but larger amounts would require separate service. No, this is a new requirement.

Please clarify the pricing mechanism for these, which would typically be once a month based on the number of containers at each location. Shredding Services - Once monthly/per office.

Is the max ceiling of $1,500,000 the prospective budget for the entire contract (among all potential awardees) or is the amount of $1,500,000 the bid ceiling for each prospective bidder? $1,500,000 is the maximum ceiling for all awards.
