Attachment 2– SPECIFICATIONS AND SCOPE OF WORK
The scope of work was discussed by the Facility Coordinator.
The Bidders visited the Carpentry shop and took the necessary measurements.
Some of the points the Facility Coordinator discussed:
- Bidders were informed that the Embassy will is responsible for removing and reconnect the fire detectors. The HVAC system is not part of the scope and will be addresses by a specialized company before the start of the project.
- Bidders were informed that the windows are not included in this project.
- Bidders were informed that, regarding the closets, the available space should be used at maximum.
- Bidders were informed that the rooms are not all the same, and therefore the layout will be different as well.
- Bidders were informed that, regarding the light switches, there should be one near the door and one near the beds. Drawings with the layout and single line schematics will follow as part of the questions and answers.
- Bidders were informed that the light study is still on going. The results of the study will be sent to the bidders after receipt. The deadline for quotations will be extended accordingly.
- Bidders were informed that the closets should be equipped with an automatic light switch that turns on when the door opens (LED).
- Bidders were instructed to use washable paint.
- Bidders were instructed to include the removal of debris in their offer.
In the end of the site visit, there was a discussion about the work site of the awarded company, and how much space is needed to meet the logistics requirements during the execution of the project.
The Bidders had several questions and remarks, they also requested AutoCAD Drawings of the Manor House.
They were reminded that they need to submit their questions by writing before the deadline. All questions and answers, posed on the site visit or by the deadline will be provided to all interested firms in writing.
Some of the questions and remarks of the Bidders:
- Will the 3D designs be provided pre-award or post-award?
- Are there any specific equipment types?
- What is the timeline for the project?
- Is the Domestic water piping network copper or steel. Is current pipe network in a good shape? If not, shall it be replaced?
- Should the hydraulic door closers in the bathrooms remain or should they be removed?
- The Bidders requested samples for the carpets.
- If a ceramic floor is to be installed, it is imperative to assess the existing wood structure, to make sure it can cope with the weight of leveling layer and the ceramic tiles. An accurate cost estimation is only possible with this previous assessment. At this point, based on the onsite observation, both bidders concur that, ideally the floor should be vinyl- or synthetic-based tiles.
All questions and answers, minutes of the meeting and amendments (if any) will be posted on www.SAM.gov.
USG representatives thanked the attendees for showing interest to this solicitation and the meeting was adjourned.
