About this file

This is a Questions and Answers (Q&A) document labeled as Attachment J-9 that addresses vendor inquiries about an exhibit booth storage and deployment contract for the Library of Congress. The Q&A clarifies that the Library owns all necessary A/V equipment, including an 84" TV that the contractor will store at their facility, while other A/V equipment is stored at the Library and requires contractor coordination for pickup, delivery, and return.

The document also confirms that no graphics updates will be needed for the 30x40 exhibit at the 2025 ALA Annual Conference and Exhibition. The Library declined to provide information about the number of proposal responses or incumbent status. The Q&A references an Amendment 0001 that adds context to Section M (Evaluation Factors for Award) in response to a question about award criteria and whether the decision would be based on lowest price, experience, or proximity to Library staff.

Attachment J-9 Q&A

Q: You noted you own an 84” TV only for AV --- will all others be rented?

A: The Library owns all necessary A/V equipment. The Contractor will store the Library’s 84” TV at their storage facility. The remaining A/V equipment is stored at the Library, and the Contractor will coordinate pick-up, delivery and return as stated in C.3.2. Section C.8 has been updated to clarify.

Q: Would there be any updates needed to any graphics on the 30x40 exhibit for the upcoming ALA show or are we working with the existing ones to start with?

A: No, the Library does not anticipate needing to update or replace any graphics for the 2025 ALA Annual Conference and Exhibition.

Q: From how many companies have you received RFP responses, and does that include the incumbent?

A: The Library is unable to provide information as to the number of proposals received, or from whom.

Q: I understand that it is LOC’s intention to award without engaging in discussions --- will this award come down to lowest price, or is it a combination of experience and/or price and/or proximity to LOC staff?

A: The Library has amended the solicitation to add additional context to Section M, Evaluation Factors for Award. Please see redlined changes in Amendment 0001.
