About this opportunity

The School Board of Sarasota County (SBSC) is soliciting sealed proposals through Request for Qualifications #26-0004 to establish a pre-qualified pool of yearbook service contractors for elementary, middle, and high schools districtwide. The procurement seeks vendors capable of providing comprehensive yearbook services, including design, layout, printing, binding, delivery, online ordering systems, templates, graphic design, photo scanning, software provision, and training workshops. Proposers must have three years of verifiable yearbook service experience and provide three commercial references from customers outside SBSC. The proposal submission deadline is January 6, 2026, at 1:00 p.m. EST via the VendorLink portal, with an evaluation committee conducting a Pass/Fail assessment between January 7-15, 2026. Recommended vendors will be posted by February 10, 2026, with School Board action scheduled for February 17, 2026. The contract term is three years from SBSC approval, with options to renew for two additional one-year periods by mutual agreement. Evaluation will focus on the proposer's qualifications, experience, and ability to meet the district's diverse yearbook production needs.

The RFQ encourages participation from small businesses, minority-owned businesses, and women-owned businesses as prime contractors or subcontractors. Contractors must comply with extensive insurance requirements, including workers' compensation, $1,000,000 commercial general liability coverage, and automobile liability insurance, with SBSC named as additional insured. All contractor personnel accessing school grounds, students, or school funds must complete Level 2 background screening per the Jessica Lunsford Act. Currently approved vendors include Balfour, Entourage Yearbooks, Friesens Corporation, Hercules Achievement/Varsity Yearbook, Inter-State Studios & Publishing, Rekcut Photographic/Leonard's Strawbridge Studios, TreeRing Corporation, Walworth Yearbooks, and YearbookLife, who may continue without re-qualifying. Individual schools will determine specific yearbook specifications, including book quantity, page count, cover type, color options, paper stock, binding style, and delivery dates. Pricing will remain firm for re-orders for twelve months following the award, with delivery on an F.O.B. Destination freight prepaid basis. Schools will be responsible for payment through site funding, student fees, or parent contributions, with SBSC bearing no financial obligation under this procurement.
