About this opportunity
The City of Philadelphia is soliciting quotes for a requirements contract covering USB flash drives and portable hard drives, with quotes due August 21, 2026. All deliveries must be inside deliveries to a designated loading dock; drop-ship is not acceptable.
The vendor must provide installation and configuration services at its own cost unless otherwise directed by the City. Product literature must be submitted upon request. The City will accept refurbished equipment.
Extended warranty and on-site maintenance are required components of the quote. Warranty periods are a minimum of five years for servers and IT appliances, four years for PCs and laptops, and three years for tablets. Following the warranty period, the vendor must provide on-site maintenance with next-day response including all parts and labor. Maintenance and support costs are payable after equipment delivery and acceptance by the City. Vendors may offer either three-year or five-year long-term maintenance options.
Vendors must submit quotes through PHLContracts (www.PHLContracts.phila.gov), completing all required tabs including General, Items, Questions, Terms & Conditions, Attachments, and Summary. The Local Business Entity (LBE) Program does not apply to the Office Automation Program, though vendors must respond to the LBE certification question to proceed. Vendors must answer all mandatory questions, accept the terms and conditions, and address any validation warnings before submission. Training and instruction services are requested as part of the vendor's offering.
