About this file

This is a seller checklist for the City of Philadelphia's Office Automation Program, administered through the PHLContracts procurement platform. The document outlines the step-by-step process for vendors to submit quotes for USB Flash Drives and Portable Hard Drives as part of a requirements contract. Vendors must provide unit costs and optional discounts for each listed item, with all deliveries required to be inside deliveries to a loading dock at the City's designated location. The vendor must also provide costs for installation and configuration services unless otherwise directed by the City, and must submit product literature upon request.

The checklist requires vendors to complete multiple tabs within the PHLContracts system, including General, Items, Questions, Terms & Conditions, Attachments, and Summary tabs. Vendors must confirm they are operating in the Seller role rather than Seller Admin role, answer all mandatory questions, accept the terms and conditions of the bid, and address any validation warnings before submission. The Local Business Entity (LBE) Program does not apply to the Office Automation Program, though vendors must answer the LBE certification question to proceed. Vendors should save and continue after completing each section to avoid losing their work and must review all required attachments and documentation before final submission through www.PHLContracts.phila.gov.
