About this opportunity

The Rose Bowl Operating Company (RBOC) and the City of Pasadena are seeking a qualified firm to provide comprehensive tent and furniture rental services for the Rose Bowl Stadium and adjacent Brookside Golf Courses. The procurement covers rental equipment for approximately 25 Major Events with over 20,000 attendees annually, including UCLA football games, the Rose Bowl Game, international soccer matches, concerts, and multi-day music festivals, as well as 15 additional Enterprise and Community Events. Bidders must demonstrate relevant project experience through a Relevant Experience Form documenting five previous similar projects, including detailed contract descriptions and owner contact information. The contract has an initial one-year term commencing on July 1, 2023, with two potential one-year renewal options at the sole discretion of the RBOC Chief Executive Officer. A mandatory pre-bid meeting is scheduled for February 29, 2024, at 10:30 am in the Rose Bowl Stadium Conference Room B, and electronic bids are due by 2:00 pm on Wednesday, March 20, 2024. Vendors must provide comprehensive unit pricing for various items including stanchions, lighting, canopies, chairs, tables, and decor across different event categories, with a 10.25% sales tax applied.

The solicitation does not explicitly specify set-aside designations for disadvantaged enterprises, though the bid documents include equal employment opportunity forms and workforce utilization requirements. Successful bidders will be required to make an annual investment of $12,500 in premium seating, stadium sponsorship, or Legacy donor pledge. The contract requires vendors to provide materials with four to five days' lead time and handle delivery and pickup for events. While specific budget ranges are not detailed, the comprehensive pricing matrices suggest a potentially significant contract value. Bidders must complete various administrative forms, including a Unique Entity Identifier (UEI) from SAM.gov, non-collusion declarations, and technical questionnaires. Subcontractor listing is required, with specific provisions for potential shoring design engineers if needed. The contract emphasizes compliance with local regulations, including potential requirements for a Pasadena business license and transparency in lobbying activities.
