About this opportunity
The Madison Metropolitan School District (MMSD) is seeking proposals for RFP 4134 District Vending Services, targeting vending machine services across approximately 52 school buildings and administrative facilities. The procurement aims to secure one or more vending services providers to supply and manage approximately 25 beverage and snack vending machines, with specific restrictions on product offerings based on school levels. Vendors must comply with Department of Public Instruction and USDA nutritional guidelines, with strict limitations on food and beverage sales in elementary and middle schools, and controlled access in high schools. Proposals are due February 21, 2025, at 2:00 PM CST, with a potential vendor conference scheduled for February 3, 2025. The contract will initially run from award through June 30, 2026, with potential for two optional one-year renewals. Evaluation criteria will include product offerings, commission rates, and compliance with nutritional standards, with the district planning to make recommendations by March 3, 2025, and seek Board of Education approval on March 17, 2025. Vendors must provide comprehensive product details using the provided Attachment D spreadsheet, including product locations, accessibility, categories, specific product information, sizes, pricing, and commission rates.
The RFP does not specify set-aside designations for disadvantaged enterprises or minority-owned businesses. Vendors must maintain $1 million in commercial liability insurance and provide criminal background checks for all employees working in district facilities. No specific budget range or award value is explicitly stated, though the RFP suggests commission rates will be a consideration in vendor selection. The district serves approximately 25,500 students across 33 elementary schools, 12 middle schools, and 6 high schools, representing a significant market for the selected vending services provider. While no incumbent vendor is mentioned, the current infrastructure includes approximately 25 existing vending machines that will likely need replacement or integration with the new vendor's offerings. The RFP allows for multiple vendors to be selected, indicating the district may choose different providers for various locations or school levels. Vendors must demonstrate the ability to meet strict nutritional guidelines and provide detailed product information, including nutritional data sheets for all proposed items.
