About this opportunity

The Minnesota Office of the Ombuds for Family Child Care Providers is requesting proposals for conference venue and lodging services for the "Shaping the Future for Family Child Care Providers" conference in 2026 and 2027, with proposals due July 31, 2026.

The venue must be located in one of five Minnesota counties: Stearns, Benton, Sherburne, Morrison, or Mille Lacs — a geographic constraint that narrows the eligible venue pool. The venue must provide audio-visual equipment per Exhibit C, Supplement 1 Specifications and must offer free onsite parking or parking vouchers for both event years.

The 2026 conference runs October 16–18 with approximately 250 attendees; lodging is needed for 100 guests on Thursday, October 15, and 125 guests on October 16–17, with checkout on Sunday, October 18. The 2027 conference runs October 22–24 with the same attendee count; lodging is needed for 100 guests on Thursday, October 21, and 125 guests on October 22–23, with checkout on Sunday, October 24.

Respondents must state any cancellation charges in dollar amounts on the Price Schedule for conference cancellations due to reasons other than insufficient state funding. If no cancellation charge is indicated, the state will not pay a cancellation fee.

Questions and clarifications must be submitted in writing to Mai N. Lor, Buyer I, at Mai.N.Lor@state.mn.us by July 27, 2026, no later than 2:00 p.m. CT. Respondents discovering significant ambiguities, errors, conflicts, discrepancies, omissions, or other deficiencies must notify the buyer immediately and request modification or clarification. The state is not obligated to answer questions submitted after the deadline.
