About this opportunity

Aztec Shops Ltd. at San Diego State University is seeking proposals for a comprehensive Point of Sale, ecommerce, and Inventory Management System for the university's bookstore and Aztec Store in Imperial Valley. The Request for Proposal (RFP 7031) requires a cloud-based, PCI-compliant solution that integrates with existing campus systems and supports multiple payment methods. The procurement covers hardware including 40 mobile workstations, 37 stationary workstations, and 3 UPC tag printing stations across three locations. Proposals are due December 17, 2024, at 2:00 PM PST, with a contract term spanning five years from March 1, 2025, to February 28, 2030, and potential two-year renewal options. The evaluation criteria include qualifications and references (20 points), technical approach (25 points), pricing (42 points), small business preference (5 points), disabled business preference (5 points), and optional add-ons (4 points). The successful contractor must deliver, install, and train staff on the new system by August 4, 2025, aligning with the university's academic calendar.

The RFP includes provisions for small business and disabled business preferences, potentially offering advantages to qualifying vendors. The system must support operations during the academic calendar, which runs from the third week in August through mid-May, with a summer session from late May to early August. While no specific incumbent vendor is mentioned, the new system must integrate with existing campus infrastructure and support comprehensive bookstore operations. The proposal requires detailed pricing breakdowns for hardware, software, implementation services, and maintenance fees for the first five years. Though a specific budget range is not explicitly stated, the comprehensive nature of the system, including hardware, software, and implementation across multiple locations, suggests a significant investment. Potential respondents must demonstrate successful implementations in higher education bookstore environments and comply with University policies, procedures, and requirements.
