About this opportunity

The City of Philadelphia Procurement Department is soliciting quotes for medical chart dividers under a micro purchase requirements contract with a quote due date of May 28, 2026. Award will go to the lowest responsive and responsible bidder; vendors must quote all items to be eligible for consideration.

The contract begins on the date of award and runs for one year with three optional one-year renewal periods. The maximum contract value is $43,000, adjusted annually by the Consumer Price Index for All Urban Consumers (CPI-U) from January 1, 2020, and rounded to the nearest $1,000. The City is exempt from federal excise, transportation, and Pennsylvania Sales and Use taxes; all prices must be quoted net and exclusive of taxes, with delivery FOB destination point.

Quotes must be submitted electronically through the PHLContracts.phila.gov platform. A signed Consent and Authorization Agreement must be on file in the vendor's profile or attached to the quote submission — quotes will not be considered without this document. Vendors must complete all required tabs (General, Items, Questions, Terms & Conditions, Attachments, and Summary) and resolve all validation messages before submission. All pricing remains valid for 60 days from submission or throughout the entire contract term.

Insurance requirements include Workers' Compensation at statutory limits, General Liability of $500,000 per occurrence, and Automobile Liability of $300,000 per occurrence. The City reserves the right to reject any or all quotes, accept quotes from multiple sellers, and accept quotes on individual items. The submission of an LGBTQ Applicant Data Form is voluntary and designed to support the City's diversity, equity, and inclusion goals.
