About this opportunity

The San Mateo County Sheriff's Office Forensic Laboratory is seeking a qualified contractor to provide comprehensive maintenance and repair services for two critical walk-in freezers used for evidence storage located at 50 Tower Road in San Mateo, California. The procurement opportunity requires a vendor capable of performing quarterly preventive maintenance, including detailed system inspections covering refrigeration components, electrical systems, and physical infrastructure like door seals and gaskets. Specific maintenance tasks include testing vibration levels, motor resistance, refrigerant charge, fan RPMs, safety controls, and performing mechanical adjustments such as belt alignment, electrical connection tightening, and annual condenser coil cleaning. The contract also mandates 24/7 emergency repair services to address unexpected breakdowns, with capabilities to replace faulty components like compressors, fans, thermostats, and repair refrigerant leaks. Critical performance requirements include maintaining freezer temperatures below -10 degrees Celsius consistently and ensuring optimal operational reliability of evidence storage equipment. The solicitation was posted on December 30, 2025, with proposal responses due by January 14, 2026.

No specific set-aside designations or restrictions for disadvantaged enterprises were explicitly mentioned in the contract opportunity documentation. The procurement appears to be open to standard commercial vendors with specialized expertise in industrial refrigeration and laboratory equipment maintenance. While no incumbent vendor was identified, the contract implies a need for a contractor with comprehensive technical capabilities in complex scientific environment equipment maintenance. The documentation does not specify a precise budget range or potential contract value, though the specialized nature of forensic laboratory equipment maintenance suggests a potentially significant investment. Interested vendors would likely need to demonstrate substantial technical qualifications, including certifications in refrigeration system repair, experience with laboratory-grade cold storage equipment, and capability to provide rapid emergency response services. The contract's scope suggests a potential multi-year agreement with quarterly maintenance requirements and on-call repair capabilities.
